Job description

JOB TITLE: Assessments Assistant – Part-Time FLSA Status: Non-Exempt
General Statement of Duties: Responsible for assisting with accounts receivable activities related to the billing, collection, and application of homeowner assessments.
Supervision Received: Works under the direction of the Assessments Manager.
Supervision Exercised: None.
JOB DESCRIPTION
Examples of Duties:
The following examples of duties are intended to be illustrative only and are not intended to be all inclusive.
  • Main point of contact for incoming telephone calls and walk-in business at the Assessment window.
  • Professionally answers questions from homeowners, title companies, real estate agents, law offices, banks, etc.
  • Processes all association payments received, applying them to homeowner accounts and accurately scanning all check payments to the bank account.
  • Researches reject batches received from HRCA’s bank and confirms the correct account is credited. Follows up with homeowners to ensure future payments are not rejected.
  • Assists in performing end of month/year close items to ensure accurate financial reporting.
  • Acts as backup to assessments personnel during busy times, sickness, and vacations.
  • Assists with the processing of returned mail.
  • Assists the Assessments Manager with projects as needed.
  • Performs weekly/monthly audits between HRCA and the payment provider to update accounts accordingly, ensuring data is input into the accounting system correctly so the proper invoice is sent to the homeowner.
  • Processes all refund requests from homeowners, including refunds generated as a result of the sale of a property.
  • Completes all requests for reimbursement letters, including verifying account balances, payments, property ownership, and validity of the request.
  • Processes all information updates requested by homeowners, ensuring that name or address changes do not affect ACH payments.
  • Performs weekly/monthly reviews in Douglas County of all Quit Claims processed to ensure the HRCA database is accurate.
  • Performs other accounting or administrative duties as assigned or required.

QUALIFICATIONS
Required Knowledge, Skills and Abilities:
Good communication skills over the phone and in person. Proficient with general computer use, including Microsoft Outlook, and working knowledge of Microsoft Excel. Experience with NetSuite or another accounting software is beneficial. Well organized with strong attention to detail and accuracy. Must be able to multi-task efficiently and accurately and resolve sensitive/confidential matters in a discreet and appropriate manner.
Must pass a pre-employment background check and drug screening.
