Parish Office and Pastoral Assistant

St Scholastica is seeking a part-time Parish Office and Pastoral Assistant to support parish operations and pastoral functions. This position is part-time, non-exempt, not eligible for benefits and expected to work 20-29 hours per week on average, not to exceed 29 hours.


General Duties:

· Welcome and greet people who come into the Parish Office and refer them to the appropriate person or group to meet their needs

· Available at least 20-24 hours per week in the office

· Assists Pastor with miscellaneous tasks

· Other items and duties as assigned


Office Duties:

· Prepare and print weekly parish bulletin

· Prepare and send monthly “What’s Happening” Flocknote communication

· Manage office supplies inventory and order when necessary

· Update changes to the website

· Attend weekly staff meeting

· Receive incoming calls and return messages promptly

· Maintain parishioner database

· Maintain parish calendar of events

· Manage weekly website requests and follow up communications

· Manage online Ministry Scheduler

· Approve mass intention requests and track payments


Sacramental/Liturgical Duties:

· Verify all requirements are met for Sacraments

· Track all required paperwork and maintain organized files

· Record all Sacraments in Sacramental books

· Notify other parishes of Sacraments received

· Create certificates for Sacraments

· Coordinate with Pastor and Funeral Directors, Wedding Directors or others for funerals, weddings and other services as needed

· Coordinate with Pastor, Deacons, and Director of Family Faith Formation for Sacraments and Faith Formation

· Coordinate with ushers, greeters, musicians and other ministry volunteers for liturgical ministries and responsibilities

· Manage and order all liturgical supplies as needed (hosts, candles, etc.)

Requirements:

· Must be a practicing Catholic in good standing with the Church and eager to carry out the mission of the Church

· Must keep high personal standards and moral conduct that demonstrates and communicates the Catholic faith

· A working knowledge of Microsoft Office Suite

· Proficient skills in learning online software

· Excellent customer service and communication skills

· Strong time management skills

· Attention to detail

· Ability to maintain confidentiality and exercise discretion

· Ability to work collaboratively with clergy, staff, volunteers and parishioners
