Job description

Sales Coordinator Position Overview:

The Sales Coordinator will work with the Sales Team. They will manage various aspects of filing contracts, assisting with group resumes, building group blocks and transient reservations. They will administer the operational and system processes for coordinating group arrival and departure by entering group bookings and rooming lists into the sales and front desk systems. This position will also assist with guest correspondence, administrative duties such as group and transient billing, as well as reservation assistance. The Sales Coordinator will also be responsible for special projects pertaining to the organization of the property management system and the sales and catering system.

Sales Coordinator Major Duties & Responsibilities:

  • Liaise with Sales Team in coordinating contract files.
  • Make / Change / Cancel reservations.
  • Process confirmations as needed.
  • Request booking links from distribution
  • Verification of the VIP, ETA, billing, arrival and departure dates, room types based upon group resumes prior to the weekly revenue meeting.
  • Ensure that group blocks, group lists, group billing, and cutoff dates are maintained.
  • Preblock all group needs for suites or connecting rooms.
  • Check Daily arrivals to ensure accurate reservations.
  • Process prepayments and ensure proper routing of 3rd party reservations
  • Verify travel agency commission invoices
  • Review cancellation report and charge as needed
  • Process and track gift certificates
  • Maintain positive guest relations at all times.
  • Able to perform job functions with attention to detail, speed, and accuracy.
  • Able to prioritize and organize work.
  • Handle mail / correspondence.
  • Run various reports in opera for managers
  • Assist with special projects as needed
