Suites Pantry Coordinator - Part-Time

Trail Drive Management Corporation Properties:

Trail Drive Management Corp. (TDMC) is a not-for-profit venue management company in Fort Worth, Texas. TDMC manages all aspects of venue management, including but not limited to event booking, event management, marketing, IT, technical services, food & beverage, parking, security, housekeeping, changeover, maintenance, and more. TDMC manages several venues in Fort Worth, TX.

This position will be 100% on-site.

Job Summary:

Trail Drive Management Corp (TDMC) is looking for a part-time Suites & Loge Box Pantry Coordinator. Responsible for making sure each suite and loge box is properly and completely set for each event. This, in part, is accomplished by checking the in/out and rotation of product, accurate inventory, and pantry organization.

Essential Job Functions:

  • Responsible for making sure each suite and loge box is properly and completely set prior to each event start time
  • Communicate with the food and beverage team (suite attendants, food runners, supervisors, managers, cooks, and chefs) and guests of the arena to ensure food quality and service standards are always maintained
  • Monitor staff by maintaining policies and procedures, ensuring safety, sanitation, and responsible alcohol service, while striving for optimal experience for guests and staff
  • Responsible for ensuring quality and hospitality throughout the Suite Level of the arena
  • Responsible for communication between counterparts within the department
  • Responsible for pantry organization and event preparation
  • Responsible for assisting in closing out financials at each event and ensuring correct billing takes place
  • Responsible for assigning team members to specific event-related tasks
  • Serve as a liaison between Suite and Loge Box Supervisors and Kitchen staff throughout each event and ensure a positive atmosphere for team members and guests.
  • Responsible for assisting with the supervision of team members on non-event and event days
  • Communicate and work with department counterparts to ensure food quality and service standards are always maintained
  • Assist management with monitoring the department by maintaining policies and procedures, upholding safety and sanitation standards, and ensuring a positive atmosphere for team members and guests
  • Capture and properly track food and beverage orders that are placed during the event
  • Expedite the communication of special food and beverage requests, late food and beverage orders, changes to any food and beverage orders, and guest-related issues to the appropriate entities
  • Prepare and track the distribution of receipts, invoices, and/or refund transaction documents on an event basis
  • Help maintain and ensure excellent customer service for internal and external guests
  • Responsible for pantry organization, checking in/out and rotation of product, accurate inventory, and food and beverage preparation
  • Responsible for ensuring that the locations are cleared of any remaining food, beverages, and equipment at the end of the event and resetting for the next event
  • Responsible for holding pre-shift and assigning team members to specific event related tasks assign tasks
  • Responsible for assisting with the supervision of team members on non-event (set up) and event days
  • Monitor and enforce safe alcohol policies and procedures
  • Monitor and maintain inventory control and product requisition with the pantry/ department
  • Have knowledge of food and beverage menu items and accompaniments
  • Be comfortable with the arena and know how to navigate personally, as well as assist guests
  • Direct any inquiries regarding food and beverage to the correct entity and/or personnel within the arena
  • Perform other duties as assigned.

Qualifications:

  • Must be a minimum of 18 years of age.
  • At least one year of operations experience
  • At least one year of experience in an administrative role; a food and beverage background preferred
  • Candidate should be proficient in Microsoft applications (Word, Excel, PowerPoint, CRM, and Outlook)
  • Possess excellent interpersonal skills and diplomacy
  • Possess excellent written and verbal communication skills
  • Strong attention to detail and proven customer service skills
  • Exceptional organization and prioritization
  • Candidates should possess strong problem-solving, analysis, and strategic thinking skills

Working Conditions:

  • Employees will work in an environment with fluctuating temperatures.
  • Employees must have the ability to lift, push, and pull up to 50 lbs.
  • Employees will regularly spend their shift standing/walking, traveling stairs, with limited to no sitting.
  • Employees may be exposed to high noise levels and/or fluctuating lights in event settings.
  • Employees may be exposed to sharp objects, heat from ovens, burners, steam, trays, etc.
  • Employees must have the ability to reach, lift, and bend to perform job duties throughout the shift.
