Job description

The export documentation specialist is responsible for preparing and managing all necessary paperwork for exporting perishable goods stored in cold storage facilities, ensuring compliance with international trade regulations, customs requirements, and proper documentation for the safe transportation of temperature-sensitive products, while coordinating with internal departments and external parties to facilitate smooth export processes.

The points below describe the responsibilities of the position, however, the most important skills required for this position are strong computer skills, attention to detail, high level of organization, and willingness to learn. The regulatory information and documentation process will be covered during training.

Key responsibilities:

  • Document preparation:
    • Create and review all export documents including packing lists, bills of lading, USDA Export Health Certificates, and other required documentation based on destination country regulations.
    • Accurately input product details, quantities, weights, and shipping information into export documents.
    • Verify compliance with USDA and destination country export regulations.
  • Coordination with external customers:
    • Collaborate with cold storage warehouse staff to gather accurate product information for export documentation.
    • Communicate with external customers to provide necessary export documents.
    • Coordinate with product suppliers to gather customer details and export requirements.
  • Compliance and quality control:
    • Maintain updated knowledge of international trade regulations, customs procedures, and export control laws applicable to cold storage goods.
    • Monitor and track export shipments to ensure all documents are signed prior to vessel departure dates.
    • Conduct thorough document checks to identify and rectify any errors or discrepancies and report them to management.
  • Recordkeeping and reporting:
    • Maintain organized digital and physical files of all export documents and related correspondence.
    • Generate reports on export activities, including shipment tracking and compliance status.
  • Required skills:
    • Ability to learn and apply Agile Export Process to create and maintain the high level of documentation accuracy that our customers expect.
    • Requires an extremely high level of organization and continuous follow-up of outstanding documents.
    • Excellent attention to detail and accuracy in data entry.
    • Proficiency in Microsoft Office Suite and Adobe Pro.
    • Strong communication and interpersonal skills to collaborate with internal departments and external customers.
