Appointment Setter In information

What are some common challenges Appointment Setters face when coordinating between sales teams and potential clients?

Appointment Setters often encounter challenges such as managing high call volumes, overcoming gatekeepers to reach decision-makers, and handling objections from prospects. They need to maintain accurate records in CRM systems and ensure seamless communication with sales representatives to avoid double-booking or missed opportunities. Staying organized and adaptable is key to success, as priorities can shift quickly based on client availability and sales team needs.

What are Appointment Setters?

Appointment Setters are professionals responsible for contacting potential or existing clients to schedule appointments for sales representatives or other company personnel. They typically work in call centers, sales departments, or remotely, using phone calls, emails, or other communication tools. Their main goal is to qualify leads, maintain an organized schedule, and ensure that prospects are prepared for meetings. Appointment Setters play a crucial role in supporting the sales process by helping businesses connect with potential customers efficiently.

What is the difference between Appointment Setter In vs Appointment Coordinator?

AspectAppointment Setter InAppointment Coordinator
Primary RoleScheduling appointments and leads for sales teamsManaging and confirming appointments, coordinating schedules
Required SkillsCommunication, organization, basic CRM knowledgeCommunication, organization, customer service, scheduling software
Work EnvironmentSales offices, call centersOffice settings, client sites
Industry UsageSales, telemarketing, real estateHealthcare, corporate, legal

While both roles involve scheduling, an Appointment Setter In primarily focuses on generating and setting appointments for sales teams, often via calls or outreach. An Appointment Coordinator manages and confirms appointments, ensuring schedules run smoothly and clients are well-informed. The roles overlap in communication and scheduling skills but differ in scope and industry application.

What are the key skills and qualifications needed to thrive as an Appointment Setter, and why are they important?

To thrive as an Appointment Setter, you need strong communication skills, basic sales knowledge, and often a high school diploma or equivalent. Familiarity with customer relationship management (CRM) software, appointment scheduling tools, and phone systems is typically required. Persistence, active listening, and a professional demeanor help set top performers apart in this role. These skills are vital for efficiently securing appointments, building customer relationships, and supporting the sales pipeline.

Job description

About Fasturtle

Fasturtle is a 25-year-old full-service digital marketing agency headquartered in Phoenix, AZ. We partner with home services companies, HVAC, landscaping, garage and closet design firms, and medical practices to drive consistent, high-quality leads through SEO, paid media, and social. We're a Google Partner with a track record of delivering 10% Google Ads conversion rates — nearly 3x the national average.

We're growing fast and need a sharp, persistent, people-first Appointment Setter to join us in-house and help turn outreach into booked sales conversations.

The Role

As our in-house Appointment Setter, you're the first voice prospects hear. Your job is to follow up on outbound and inbound leads, qualify decision-makers, and get qualified sales appointments on the CEO's calendar. You'll work out of our Phoenix office and be a key part of our business development pipeline.

What You’ll Do

• Make outbound calls and send follow-up emails to warm and cold leads from our CRM (GoHighLevel)

• Follow up on inbound inquiries promptly — speed-to-contact matters

• Qualify prospects by asking the right questions about their business, marketing needs, and decision-making authority

• Book qualified discovery calls on the CEO’s calendar — confirmed, not tentative

• Log all activity accurately in GoHighLevel after every touchpoint

• Execute proven outreach cadences and scripts (training provided); suggest improvements as you learn what works

• Coordinate with the sales lead to ensure smooth handoffs before every booked call

• Report daily on calls made, conversations had, and appointments booked

What Makes an Appointment “Qualified” (Bonus-Eligible)

The $50 per-appointment bonus applies when the prospect meets ALL of the following:

• Decision-maker confirmed (owner, partner, or marketing director)

• Business actively spends on marketing or is actively seeking a marketing partner

• Appointment kept — prospect shows up to the scheduled call

• Monthly budget of $1,500+ or is open to discussing investment

Who You Are

• Confident and comfortable on the phone — you don’t wait to be called back, you call again

• Organized and consistent — you follow a cadence without being told twice

• Coachable — you take feedback and apply it immediately

• Honest — you qualify prospects accurately, not just to hit a number

• Competitive but not pushy — you know the difference between persistence and pressure

• Tech-comfortable — CRM experience preferred, especially GoHighLevel

Requirements

• 1+ year of phone-based sales, customer service, or appointment setting experience

• Ability to work in-office in Phoenix, AZ (not a remote role)

• Available 20–32 hours per week (schedule to be determined with manager)

• Strong verbal and written communication skills

• Reliable and punctual — this role depends on daily consistency

• CRM experience a plus; GoHighLevel training provided

Compensation & Schedule

• Base pay: $18.00 per hour

• Performance bonus: $50 for every qualified appointment booked and kept. $100 for every order signed

• Hours: Part-time, 20–32 hours per week

• Location: In-office, Phoenix, AZ

• Strong performers have room to grow into a full-time role
