Job Description Summary:

The IT Commercial Operations Analyst serves as BTech's commercial hub; owning the end-to-end lifecycle of technology contracts, leading vendor negotiations with a structured playbook, and providing spend visibility across IT vendor and contract investments. This role is accountable for redesigning and continuously improving the IT contract lifecycle to reduce cycle time, eliminate unnecessary handoffs, and centralize contract accountability. The Analyst owns contract lifecycle management, supports vendor performance and risk oversight, and provides clear insight into technology spend, obligations, and opportunities for optimization.

Job Description:

KEY RESPONSIBILITIES - CONTRACT MANAGEMENT

  • Review all inbound IT vendor contracts, SOWs, and MSAs for accuracy, risk, and compliance before routing for signature
  • Redline agreements in collaboration with Legal, flagging non-standard terms, liability exposure, and entity naming errors
  • Ensure contracts clearly define data ownership, access, retention, and extraction rights to support application decommissioning, legal compliance, and end-of-life system transitions
  • Create and execute a standardized process for the review and remediation of existing IT vendor contracts and MSAs to ensure compliance with current insurance, cybersecurity, data protection, SLAs, disaster recovery, termination, and client/owner requirements
  • Maintain a standard clause library and contract templates to accelerate review cycles
  • Own the contract fast-track vs. full-path triage process, routing agreements appropriately
  • Apply Gartner's SaaS contract negotiation framework covering 40+ critical terms across pricing, usage rights, risk/compliance, and exit provisions
  • Lead negotiations on all IT vendor agreements using a structured escalation playbook
  • Benchmark vendor pricing against market rates and challenge vendors on cost, scope, and SLA terms
  • Coordinate with domain leads to consolidate vendor touchpoints and avoid redundant contracts
  • Regularly monitor and improve procurement processes for effectiveness and optimization

GOVERNANCE

  • Enforce BTech's signing authority policy ensuring no contract is executed by unauthorized personnel
  • Serve as a trusted proxy for BTech leadership by representing approved commercial, risk, and contractual positions in vendor negotiations
  • Maintain an active log of who is authorized to sign at what threshold
  • Educate and communicate signing authority policy to BTech and operating company stakeholders
  • Route final agreements to authorized signatories with a prepared summary and recommendation
  • Ensure all required risk, cybersecurity, and AI reviews are completed prior to contract execution

Budget Tracking & Spend Visibility

  • Maintain a live IT vendor spend register across all technology-managed contracts
  • Support BTech's broader OPEX/CAPEX budget administration as the function matures
  • Build and maintain spend dashboards for leadership using appropriate BI and reporting tools
  • Tag spend by vendor, domain, business value category, and cost type to enable reporting slices
  • Partner with Finance as the chargeback model evolves
  • Track license utilization across key platforms and identify underused or redundant contracts
  • Support annual and quarterly budget planning with spend forecasts and renewal projections
  • Track cost savings and value realization resulting from negotiations and contract optimization
  • Produce portfolio-level reporting for executive consumption, summarizing vendor obligations, spend trends, and optimization opportunities

Ad Hoc Analysis & Reporting

  • Conduct ad hoc vendor analysis and reporting as requested by leadership (e.g., licensing tier comparisons, cost-benefit analyses)
  • Partner with product managers and domain leads on technology procurement decisions, providing data-driven recommendations
  • Support hardware procurement analysis including server cost comparisons and reseller negotiations (e.g., CDW, SHI)

Vendor Performance Management

  • Coordinate vendor scorecards assessing SLA adherence, support responsiveness, roadmap alignment, commercial fairness, and escalation handling
  • Apply a vendor criticality assessment framework using weighted scoring across spend, market size, replacement complexity, utilization, and risk
  • Manage vendor tiering (Strategic, Operational, Transactional) with appropriate engagement cadences
  • Coordinate periodic business reviews with strategic vendors, tracking KPIs and performance against SLAs

Efficiencies & Process Optimization

  • Identify and implement improvements to ordering practices, invoicing workflows, and chargeback processes
  • Evaluate opportunities to automate manual procurement and contract management tasks
  • Support future expansion into adjacent procurement areas such as mobile device lifecycle management

Tools & Systems Owned

  • BI and reporting tools (spend reporting, dashboards, and ad hoc analysis)
  • Contract repository, clause library, and policy documentation (platform to be determined based on evolving tooling strategy)
  • Own contract data accuracy, renewal notifications, and documentation hygiene across all platforms

Minimum Skills or Experience Required

  • 5-8 years in IT/SaaS procurement, vendor management, or technology sourcing
  • Demonstrated experience negotiating enterprise software agreements (SaaS, MSAs, SOWs)
  • Comfortable reading and redlining contracts without full legal support
  • Strong analytical skills with ability to build and maintain spend tracking using BI and reporting tools
  • Familiarity with ITSM platforms and contract management systems
  • Understanding of SaaS contract structures including per-seat, consumption-based, and enterprise agreement models
  • Experience with vendor criticality assessments and tiering frameworks

Preferred Skills

  • Construction or professional services industry experience
  • Experience building vendor scorecards and performance management programs
  • Knowledge of perpetual-to-SaaS licensing conversion strategies
  • Experience with hardware procurement and reseller relationship management
