Overview
Ancillary Services Coordinator - Downer's Grove - PT/OT
Position Highlights:
  • Full-Time, 40 hours/week
  • Hours: Monday-Thursday 7:00am-4:00pm
  • Location: Downer's Grove; opportunity to work hybrid once metrics met (2 days in office, 3 days remote)

Responsibilities
Under the direction of the Referral Supervisor, the Ancillary Services Coordinator is responsible for managing all back end tasks for assigned Physical and Occupational Therapy locations. Provides to sites a clean DAR, ensures all visits are authorized, and updates assigned sites on needs from providers and payers. The Ancillary Services Coordinator ensures work is accomplished in accordance with Duly Health and Care policies and payer rules for therapy benefits.
  • Manage Epic DAR for assigned locations.
  • View each appointment encounter for assigned locations to ensure visit is authorized.
  • Perform confirmation phone calls for ancillary modalities; explaining all prep work, arrival time, treatment time of patients and explaining the financial waiver and self-pay policies when applicable.
  • Enter outside physician's orders into the Epic Radiant System.
  • Submit IT ticket on all unlisted physicians.
  • Add external provider orders into Epic.
  • Follow up with physicians and payers on Peer-to-Peer requests.
  • Communicates regularly with assigned locations on updates and/or changes to patient visit authorization.
  • Manage the referral queue messages to notify HPS/UM of pending referrals.
  • Call patients on all denied authorizations.
  • Cover other locations when other Ancillary Services Coordinators are out of the office.
  • Exam preparation including: ensure labs requirements are met; ensure the appointments are accurate, check for protocol changes, follow-up on image requests.
  • Point of contact for stat radiology results being the liaison between physician and patient.
  • Manage the No Show Patients Reports and Televox cancellation report for Radiology.
  • Monitor the Open Orders Report; put physician clinical information into all open referrals on report.
  • Utilizes resources to ensure most up-to-date and accurate information regarding insurance and authorization is provided to patient and treating therapist.
  • Collaborates with team of Ancillary Services Coordinators to share best practice.
  • Demonstrates an enthusiasm for learning new technologies, tools, and procedures to address challenges

Qualifications
The Experiences You Bring
  • Knowledge of OSHA, HIPAA, and employment legislation
  • High School Diploma or GED
  • Experience of 3 or more years preferred
  • Prefer one-year experience in customer service setting, preferably in a medical office with basic knowledge of medical and insurance terminology.
  • Prefer EMR knowledge; specifically, Epic Hyperspace.

The compensation for this role includes a base pay range of $15.14-22.70 with the actual pay determined by factors such as skills, experience, education, certifications, geographic location, and internal equity. Additional compensation may be available through shift differentials, bonuses, and other incentives. Base pay is only a portion of the total rewards package.
