Job Description:

Our client is seeking a senior-level Office Administrator to oversee operations across three offices in Portland, Sacramento, and Seattle. This is a high-visibility leadership role responsible for ensuring smooth day-to-day operations, leading and developing support staff, and partnering with regional leadership to manage the needs of a complex, multi-office environment.

The ideal candidate will bring a strong background in office operations, people leadership, and professional services. Candidates from environments such as Big 4 accounting, consulting, financial services, legal, or other complex professional services organizations are encouraged to apply.



Key Responsibilities

  • Oversee day-to-day operations across three regional offices, ensuring efficient and consistent processes.
  • Supervise, coach, mentor, and develop approximately 15-17 support staff.
  • Manage staff assignments, workload distribution, training, and professional development.
  • Understand employees' professional goals and help identify opportunities for growth and development.
  • Coordinate onboarding and offboarding activities, including ID reviews and other operational requirements.
  • Serve as the regional point of contact for Centers of Excellence initiatives, including furniture, IT rollouts, marketing events, and other office projects.
  • Partner closely with regional leadership to identify and resolve operational and staffing issues.
  • Support consistent policies, procedures, and best practices across all three offices.
  • Participate in weekly or biweekly meetings with other Office Administrators to share challenges, solutions, and best practices.
  • Act as a key resource for employees and leadership regarding office operations and administrative needs.
  • Lead operational projects and initiatives that improve the employee and office experience.
  • Ensure offices are organized, professional, and operating effectively.



Qualifications

  • Bachelor's degree required.
  • Associate's degree may be considered for an exceptional candidate with highly relevant experience.
  • Significant experience managing and developing teams.
  • Experience managing a multi-office environment or a large office with a substantial support staff.
  • Strong background in office, business, or professional services operations.
  • Proven ability to manage competing priorities in a fast-paced, complex environment.
  • Strong communication, organizational, problem-solving, and leadership skills.
  • Ability to build strong relationships with employees, leadership, and cross-functional teams.
  • Experience working in a professional services environment is highly preferred.
