Description:

The Assistant Operations Manager will assist the Operations Manager in planning, directing and overseeing the daily operations to ensure goals and objectives are achieved. This role will gain experience to assist the Operations Manager, cover for absence of Operations Managers at the DT, Mobile or other sites when needed. This role will be a developing role with a Performance Development Plan to prepare the candidate for growth within IMCBA as an Operations Manager. The Assistant Operations Manager must become proficient and successful for all roles and responsibilities identified within this Job description within 2 yrs. of taking the role. The Assistant Operations Manager will be mentored by the Operations Manager and the Director of Operations and Engineering. To be eligible for this position, you must currently be in a supervisor level role.


Supervisory Responsibilities

· Participates with Interviewing, hiring and training new employees.

· Assist and actively participates with organizing and overseeing the schedules and work of DT, Mobile assigned staff.

· Assist and provides feedback to the Operations Manager on team performance evaluations that are timely and constructive.

· Will assist with and conduct discipline and termination of employees as needed and in accordance with company policy, including safety regulations, as well as government regulations.

· Will assist Operations Manager with, coaching, training, evaluating and developing subordinate employees to ensure operations comply with company standards and employees are performing at their highest level, while maintaining engagement and satisfaction.


Duties/Responsibilities:

The typical duties and responsibilities of facilities maintenance managers include the following.

· Assist and experience Planning and executing building maintenance, alteration and operational programs for all facilities under their department; programs include all mechanical, electrical, plumbing, HVAC, carpentry, painting and landscaping functions.

· Act as a role-model for ensuring superior customer service to building tenants concerning building operation, maintenance and alteration needs.

· Develop relationships with contractors to ensure smooth operations.

· Assist and experience managing and handling of all outside contractor/vendor contracts, with the Operations Manager to ensure contractor performance is as specified.

· Assist and work with computer maintenance management system (AMMS) to ensure it continues to meet Building Authority's needs with the Operations Manager.

· Assist the Operations Manager to monitor water treatment, fire suppression, chiller, elevator and snow removal contractual maintenance programs and services.

· Coordinate and enact site safety programs, while making sure safety policies are maintained.

· Assist the Operations Manager to ensure the efficiency and operational capacity of all building systems.

· Assist the Operations Manager to analyze monthly utility usages and direct equipment and operational adjustments for efficient operation.

· Assist the Operations Manager to monitor expenses and capital needs, prepare operation reports and maintenance budgets and provide analysis of all reports to higher-ups.

· Assist the Operations Manager to make sure that all maintenance processes and procedures are safe, and that all compliance programs are being met.

· Assist the Operations Manager in the facilities planning, space allocations and cost estimations for equipment and facilities.

· Assist the Operations Manager in the Initiation and review purchase requisitions.

· Coordinate with supervisors to make sure all maintenance processes are on track.

· Fill-in for operational managers at our other campuses when needed.

· Stay informed of industry concerns and changes needed to keep Building Authority a number one property management organization.

· Create a healthy and safe work environment for all maintenance/operations workers.

· Coordinate with building and facilities security to ensure all maintenance services are provided.

· Assist the Operations Manager to prepare and file all relevant reports with the government and regulatory authorities

· Perform other duties as assigned.



Requirements:

Required Skills

Excellent managerial and supervisory skills

· Extensive knowledge of operations and maintenance management

· Ability to interpret financial data as needed to set production goals

· Excellent organizational skills and attention to detail

· Excellent written and verbal communication skills with customers and staff

· Proficient in using office equipment and computer software, such as Microsoft Office, AMMS, Outlook, HRIS, etc.

· Ability to interpret engineering/architectural drawings

· Ability to interpret project schedules (e.g. Gantt charts)

· Familiarity with environmental regulations/programs

· Ability to multi-task and function in a fast-paced environment

· Knowledge of various trades working procedures and products used

· Knowledge of Building Authority Polices/Standards


Education

· Bachelor's degree in mechanical engineering technology or related discipline or equivalent work experience

· Five years of related experience in property maintenance management required
