Job description

Reporting to the Advancement Operations Manager, the Advancement Operations Specialist contributes to efficient and effective gift-processing workflows and data management. The position contributes to the overall success of the Advancement teamโ€™s fundraising and donor engagement efforts.


REQUIRED QUALIFICATIONS
The Advancement Operations Specialist must meet the three qualifications below to be considered for the position:
โ€ข Proficiency using Raiserโ€™s Edge (or a similar donor CRM)*
โ€ข Proficiency with Microsoft Excel and Word
โ€ข Close attention to detail
*Applicants without Raiserโ€™s Edge or similar donor CRM experience should not apply.


KEY RESPONSIBILITIES
The Advancement Operations Specialist position is responsible for the following key functions:
1. Gift Processing
โ€ข Performs and coordinates daily gift processing functions to ensure timely and accurate data entry into the Raiserโ€™s Edge donor database
โ€ข Reviews gift entries to ensure data accuracy and to identify issues for data clean-up
โ€ข Uploads and records gift and donor documentation in appropriate database fields
โ€ข Generates weekly gift acknowledgment letters; works with the Advancement Operations Coordinator to ensure letters are signed, scanned, and mailed in a timely fashion โ€“ with scanned letters uploaded to Raiserโ€™s Edge donor records and collaborative folders
โ€ข Generates, sends, and documents monthly gift tribute acknowledgment emails
โ€ข Coordinates with the Associate Director of Annual Giving and Digital Management to support events and fundraising appeals
โ€ข Supports the Advancement Operations Manager in monthly gift reconciliation processes

2. Data Management Services
โ€ข ย Uses the Raiserโ€™s Edge donor CRM to create queries and exports
โ€ข ย Uses Raiserโ€™s Edge to fulfill data requests from Advancement colleagues
โ€ข ย Produces weekly and on-demand financial fundraising reports for the VP of Advancement
โ€ข ย Identifies issues for data clean-up; and completes ongoing data clean-up tasks
โ€ข ย Manages a calendar of annual and periodic data imports and updates according to Operationsย 
policies and procedures

3. General Operations Duties:
โ€ข ย Actively participates in weekly Advancement Operations team meetings
โ€ข ย Uses technology to track and manage projects and tasks
โ€ข ย Consistently meets project and task deadlines
โ€ข ย Provides task support to Operations colleagues as needed
โ€ข ย Provides event support for Advancement events (including weekend and evening events) asย 
needed
ย 

The Advancement Operations Specialist should also meet most of the qualifications below:

โ€ข ย An associateโ€™s degree from an accredited college or university. A bachelorโ€™s degree isย 
preferred.
โ€ข ย Proficiency using project management tools, preferably Asana and Microsoft Teams
โ€ข ย Analytical thinking skills; strong organizational skills; efficient task management; andย 
excellent customer service and interpersonal skills
โ€ข ย Collaborative and supportive team mindset
โ€ข ย Investigative/curious nature that results in a willingness to proactively initiateย 
action
โ€ข ย Ability to handle confidential information in a professional manner
