Location: Tucson, AZ — On-site

Position Overview

We are seeking an organized and dependable Administrative Assistant to provide administrative, switchboard, scheduling, and customer service support. This role involves frequent communication with claimants, medical providers, attorneys, vendors, and internal staff.

Key Responsibilities
  • Operate the switchboard by answering, directing, and transferring incoming calls to the appropriate departments or individuals.
  • Assist with visitor check-ins, take messages, provide general information, and maintain records.
  • Handle emergency calls, monitor alarms, manage paging systems, sort mail, and provide general customer service support as needed.
  • Locate specialized physicians near claimants to complete examinations requested by Disability Evaluators.
  • Schedule Consultative Examinations (CEs) and conduct follow-up calls with claimants.
  • Print and assemble CE packets for mailing and fax necessary documentation to medical providers.
  • Respond to inquiries from claimants, vendors, and other parties regarding claim status and transportation assistance.
  • Contact claimants regarding scheduled appointments and outstanding paperwork.
  • Follow up with physicians and hospitals regarding reports, instructions, and authorizations.
  • Communicate with attorney representatives, medical sources, and other parties as directed by supervisors to assist claim adjudicators.
  • Track, distribute, and ensure completion of daily assignments.
  • Perform case development activities requiring analysis, attention to detail, and sound judgment.
  • Complete other administrative and receptionist duties as assigned.

  • Comfortable communicating by phone with claimants, medical providers, attorneys, and vendors.

  • Ability to exercise good judgment when handling case-related activities.
