MANAGER, FACILITIES & ADMINISTRATIVE SERVICES

We are seeking a Manager, Facilities & Administrative Services to lead our day-to-day facilities and administrative operations while serving as a key internal partner throughout the construction, preparation, and move to our future workplace.

This highly visible opportunity is ideal for someone who enjoys leading people and operations while managing complex projects. The successful candidate will move comfortably between project meetings, vendor and construction discussions, operational problem-solving, and hands-on team leadership.


YOUR IMPACT AT OLD REPUBLICHeadquarters Construction and Transition
  • Serve as a core member of the cross-functional team responsible for planning, constructing, and transitioning to Old Republicโ€™s new headquarters.
  • Partner with company leaders, architects, contractors, consultants, vendors, and other stakeholders to coordinate timelines, budgets, decisions, documentation, and deliverables.
  • Take ownership of assigned project workstreams from planning through completion, identifying risks and helping develop practical solutions.
  • Represent operational and employee needs in decisions involving building functionality, workspace design, furniture, technology, security, amenities, and the overall workplace experience.
  • Coordinate move planning, including space assignments, furniture and equipment, employee communications, vendor activities, operational readiness, and transition logistics.
  • Help ensure building services, procedures, vendors, and emergency plans are fully established before occupancy.
Facilities and Administrative Services Leadership
  • Lead and develop a small Administrative Services team responsible for reception, mailroom operations, office services, supply procurement, and other workplace support.
  • Oversee building operations, including maintenance, repairs, security, cleaning, HVAC, grounds, and vendor-provided services.
  • Maintain a safe, functional, welcoming, and professional workplace throughout the multiyear headquarters project.
  • Manage preventive maintenance, workplace improvements, space planning, employee moves, furniture procurement, and related projects.
  • Establish clear priorities, service expectations, procedures, and accountability for the function.
  • Manage operating and project budgets, vendor agreements, expenditures, and cost-control opportunities.
  • Maintain productive relationships with internal partners, contractors, service providers, and property representatives.
  • Ensure appropriate documentation, emergency preparedness, and compliance with building codes, safety requirements, and company policies.

WHAT YOU BRING TO THE ROLE

You do not need to be a construction expert or hold a formal project-management certification. However, you must be prepared to become deeply involved in a large, complex headquarters project while continuing to lead day-to-day workplace operations.

  • Bachelorโ€™s degree in business administration, facilities management, construction management, project management, or a related field, or an equivalent combination of education and experience.
  • At least five years of progressively responsible experience in facilities, administrative services, workplace operations, construction coordination, project management, or a related function.
  • Experience leading employees and creating a responsive, service-oriented team environment.
  • Demonstrated success coordinating complex projects involving multiple stakeholders, timelines, vendors, budgets, and competing priorities.
  • Strong organization, communication, relationship-building, and follow-through skills.
  • Sound judgment and confidence working with senior leaders, construction professionals, consultants, and technical partners.
  • Practical, hands-on approach with the ability to balance long-term initiatives and immediate operational needs.
  • Working knowledge of building operations, vendor management, workplace safety, budgeting, and contract administration.
  • Proficiency with Microsoft Office and the ability to learn relevant project, facilities, and workplace technologies.

Experience supporting a major construction, renovation, relocation, or workplace-transformation project is strongly preferred. Project-management certification is welcomed but not required.


PAY, BENEFITS, AND WORK ENVIRONMENT

Compensation: We anticipate a starting salary of $85,000โ€“$105,000, based on relevant experience, skills, education, and internal equity. Additional flexibility may be available for a highly qualified candidate.
