Job Title: Site Operations Coordinator
Role Overview
We are seeking a Site Operations Coordinator to act as the primary operational hub for our facility. In this role, you will be the first point of contact for our site, responsible for balancing front-office hospitality with the rigorous administrative demands of a busy manufacturing environment. You will support leadership, manage onboarding for new personnel, and ensure our facility remains safe, organized, and fully operational.
This is a "boots-on-the-ground" role for an organized, proactive professional who enjoys a mix of desk work and plant-floor coordination. If you are a natural problem-solver who can navigate the needs of a diverse workforce-from hourly plant employees to senior plant management-this is an excellent opportunity to manage the heartbeat of our facility.
Key Responsibilities
Site Logistics & Front-Office Management
โข Visitor & Vendor Logistics: Act as the face of the site. Manage visitor check-in, contractor safety orientations, and vendor access while ensuring strict adherence to all security protocols.
โข Facility Support: Coordinate the daily administrative needs of the site, including conference room management, office supply procurement, and facility communication routing (mail, phones, and inquiries).
โข Event & Engagement Support: Assist in the planning and execution of employee engagement initiatives and training programs.
Operational & HR Support
โข Onboarding & Offboarding: Coordinate the full onboarding experience for new hires, including scheduling, equipment allocation, ID/safety gear issuance, and site documentation. Manage IT hardware transitions for offboarding personnel.
โข Administrative Liaison: Provide essential administrative support to the Plant Leadership, HR, and Safety teams. Track key metrics (headcount, onboarding progress) and assist with routine requisitioning.
โข Safety & Compliance: Support the Safety Department by tracking documentation and filing safety records. Assist in coordinating PPE requirements and ensuring all site personnel are compliant with site-wide safety standards.
Qualifications & Requirements
Minimum Qualifications
โข Education: High School Diploma required; Associate degree or business-related coursework preferred.
โข Experience Baseline: 2-4 years of experience in a high-volume office or operations support role (preferably within a manufacturing or industrial setting).
โข Technical Proficiency: High level of proficiency in the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
โข Independence: Proven ability to work autonomously with general supervision, managing competing priorities in a fast-paced environment.
Preferred Attributes
โข Familiarity with Human Resources procedures, time and attendance systems, or safety program documentation.
โข A "proactive" personality: You don't wait to be told what to do; you anticipate the needs of the plant management and the staff.
โข Comfort working in a manufacturing plant environment, which requires walking the floor, wearing appropriate PPE, and navigating varying work conditions.
