Eden Vista Oshkosh, part of the Eden Senior Care Network, is seeking a Full-Time Administrative Assistant/Scheduler to join our team.

Position: Administrative Assistant/Scheduler

  • 8 AM to 4 PM, Mondsys to Fridays
  • Occasional weekends and holidays
  • Experience in front desk/reception/administrative task and scheduling is PREFFERED.

Job Responsibilities:

  • Oversees end-to-end staffing operations, ensuring workforce needs are consistently met
  • Coordinates with recruiting agencies and leads hiring efforts to fill vacancies efficiently
  • Supports candidate screening, onboarding, and post-hire processes (e.g., relocation, documentation)
  • Plans and executes employee orientation and training programs
  • Develops and manages staff schedules, including shift allocation and 24-hour staffing coverage
  • Maintains timekeeping, attendance tracking, and reviews PTO/vacation requests
  • Partners with payroll to ensure accurate compensation and compliance with policies and regulations
  • Prepares and submits reports on staffing operations and performance metrics
  • Utilizes scheduling systems to create, update, and manage master schedules and daily staffing sheets
  • Ensures adequate staffing coverage in advance, particularly for skilled nursing facility operations
  • Monitors attendance and supports progressive disciplinary processes for excessive absences/tardiness
  • Composes confidential correspondence and prepares administrative and technical materials for leadership
  • Coordinates development, distribution, and implementation of policies and procedures (personnel, resident care, manuals, job descriptions)
  • Maintains strong cross-department collaboration to support smooth facility operations
  • Manages internal mail distribution for staff and residents
