Description

Position Summary

The Administrative Assistant duties include data entry, answering phones, assisting counselors and consumers, and maintaining paper and electronic files for the Vocational Rehabilitation for Native Americans and Tribal benefits programs. This is a full-time office position. This is not a remote position. Scheduled attendance is an essential job function.


Principal Duties and Responsibilities

Under the direction of the location VRNA Counselor, organize, maintain, and control a wide variety of paper and electronic confidential files.

Screen and route visitors, telephone calls and mail to the appropriate person.

Provide general office services such as photocopy, fax, and drafting various forms of correspondence and communications.

Provide hospitality for consumers/visitors during arrival and meetings.

Assist staff with outreach and other community events.

Assist staff with vendor contacts, information gathering, setting of appointments.

Maintaining office supplies and equipment.

Ensure communications and interactions are delivered in a culturally competent manner.

Ability to travel to various communities and Tribal sites occasionally.


Additional Skills

Exceptional written and verbal communication skills.

Ability to learn new data system for timely and accurate data entry.

Must take initiative regularly, work independently and accurately.

Ability to be organized and multi-task.

Must maintain strict confidentiality.

Basic to mid-level skills with Word, Excel, PowerPoint, Etc.

Perform other duties and projects as assigned.


Working Relationships and Scope

Reports directly to the VRNA counselor. Daily contact the VRNA and Tribal Benefits staff. Frequent/regular contact with consumers, public, and service providers to gather and provide information. Regular contact with outside vendors.ย

Supports mission of Great Lakes Inter-Tribal Council, Inc. Demonstrate a basic understanding of tribal customs, traditions, values, and beliefs. Quality, quantity, accuracy, timeliness and thoroughness of work performed; quality of communications and development of good working relationships with others internal and external to the Agency; honesty and integrity in the execution of all activities; customer satisfaction with services provided; maintain and comply with all Agency policies and procedures; reliability in reporting to work regularly and on time; soundness of business decisions made; maintain the integrity of confidential business information; stay current in field and utilize that information where practical. Demonstrate a friendly and helpful approach and attitude to internal and external customers; professionalism; and commitment to the job.


Knowledge, Skills, and Abilities

High School Diploma or Equivalent Education; associate's degree in administrative assistance preferred. Previous administrative experience strongly preferred. Experience with a Native American Tribal organization and/or not-for-profit agency desirable. Individuals must possess excellent verbal and written communication skills; professional demeanor and appearance; problem solving skills; ability to manage time effectively; self-motivation skills; work effectively under pressure; ability to build positive work relationships with internal and external customers; ability to interact professionally with a wide variety of people. Individuals must be able to follow routine instructions and apply logic in the solving of various computer-related issues. Must be able to perform basic math (add, subtract, multiply, divide). Must possess a valid driver's license and/or reliable transportation with adequate insurance and ability to travel.ย 


This is a fulltime hourly position working Monday through Friday, 8am-4:30pm. The worksite is located at our Spooner, Wisconsin office. ย This is not a remote position. This position, based on skills and experience, has a salary of $17.50 per hour with benefits including Annual Leave, Personal Leave and Holiday Pay; Health, Dental, Life & AD&D, STD and LTD Insurance, FSA and 401k Retirement Plan. This position requires some travel for the purposes of attending community and program related activities. Background screening is required before hire.ย
