Position Summary:
Key Roles/Responsibilities:
  • Greet in-person visitors and/or callers; handle inquiries or direct them to the appropriate person according to their needs while always providing great experience and leading with a customer service mentality.

  • Provide administrative support to the President and executive leadership team, including calendar management, scheduling meetings, coordinating appointments, and ensuring executives are well-organized and prepared for meetings and events.

  • Maintain executive and company calendars, including scheduling and confirming appointments, coordinating meetings, and managing scheduling conflicts.

  • Coordinate and book travel arrangements for executives and other employees as needed.

  • Create and maintain databases.

  • Set up and maintain paper or electronic filing systems.

  • Maintain confidentiality of business, client, executive, employee, and other sensitive information.

  • Assist with the coordination and planning of company meetings, including preparing materials, coordinating logistics, and managing meeting schedules.

  • Assist with expense reporting.

  • Assist with and coordinate marketing initiatives.

  • Support executives with organizational tasks, follow-up activities, and administrative projects to ensure priorities are managed effectively.

  • Work with other employees as a team to accomplish assigned tasks and projects.

  • Other duties and special projects, as assigned.

Required Education, Experience, and Qualifications
  • High school diploma or equivalent required.

  • One (1) or more year of experience in an office environment in an administrative role.

  • Knowledge of administrative and clerical procedures and systems.

  • Texas Notary, preferred.

  • Able to read, speak and write in English.

  • Proficiency with Office software products (Word, Excel, Outlook, et cetera).

  • Able to work under stressful conditions at times.

  • Strong work ethics of integrity and honesty and strives for excellence in all activities.

  • Ability to lift, push, and/or pull up to thirty-five (35) pounds without strain or injury.

Working Conditions:
  • Prolonged periods sitting at a desk and working on a computer.

  • Must be able to lift, up to 35 pounds at times.

  • Positions self to install equipment, including under desks

  • Moves throughout the building to access files.

  • Able to work under stressful conditions at times.
