JOB SUMMARY
The Lease Administration Supervisor is responsible for overseeing the daily operations of the Prospect Lease Administration Team. This role involves managing team performance, ensuring key metrics are achieved, and providing motivation, recognition, coaching, and problem-solving support. The Supervisor serves as the primary contact for escalated issues and ensures prospective residents receive exceptional service, aiding them in further escalation as necessary.
Key Responsibilities:
  • Team Leadership and Management: The Prospective Lease Administrator Supervisor works closely with the Manager and Director of Customer Lease Administration to supervise the team responsible for day-to-day property management functions related to new applicant screening and lease administration.
  • Performance Monitoring: Track, analyze, and report on team performance metrics, offering feedback and coaching to help achieve or exceed departmental goals.
  • Process Improvement: Continuously assess and refine systems and processes to boost operational efficiency and enhance both resident and employee experiences.
  • Issue Resolution: Serve as the primary point of contact for escalated issues, resolving problems and maintaining high service standards.

ESSENTIAL FUNCTIONS
  • Lead and manage a team of Prospective Lease Administrators: Supervises team responsible for facilitating administrative property management functions, including but not limited to, processing applications for new residents in a timely and accurate manor, processing credit and criminal checks, completing all data entry fields in Yardi to complete application process and generating a lease agreement.
  • Drive performance and achieve move-in goals: Direct and motivate the team to meet or exceed daily processing KPI's.
  • Monitor and maintain departmental metrics: Track and analyze daily, weekly, and monthly performance metrics to ensure departmental goals are met and utilize this data to provide feedback and coaching to team members.
  • Continuously evaluate and enhance systems and processes: Responsible for optimal deployment of customer Lease Administration personnel and makes recommendations for enhancing the application processes, coverage models, or team configurations to maximize application productivity.
  • Utilize performance metrics for coaching: Leverage performance data to deliver constructive feedback and coaching to team members, aiming to boost individual and team performance.
  • Conduct training and quality assurance: Responsible for training, measuring and maintaining a high degree of customer service and competency level in any resident or market peer interactions, whether over the phone or email, through formal written communication or in person
  • Ensure legal and regulatory compliance: Responsible for regular review of policies and procedures relating to lease administration.
  • Assist with special projects: Contribute to and support special projects or business assignments as needed, aligning with overall business objectives.
  • Foster a high-quality work environment: Create and maintain a positive and productive work environment, promoting team morale and performance.
  • Serve as a support: Handles Customer Lease Administration Leadership inbox along with Manager for backup.

QUALIFICATIONS
  • High School diploma or GED required; a Bachelor's degree in Business Administration, Real Estate, Marketing, or a related field is preferred.
  • Previous property management experience in either the single family or multi-family rental industry
  • Working knowledge of MS Word and Excel with the ability to perform basic/moderate formulas in Excel
  • Proficiency in Yardi is required with 3-5 years previous work experience in property management using Yardi and Salesforce
  • Strong organizational skills with exceptional attention to detail
  • Ability to thrive in a dynamic, fast-changing, growth environment
  • Fosters teamwork and mutual respect throughout the company
  • Maintains regular attendance and excellent punctuality
  • Interacts productively in person and through technology with co-workers, team members, management and other company personnel on a daily basis to accomplish duties and responsibilities.
  • Excellent oral and written communication skills
  • Honest, ethical and able to maintain confidentiality in a business setting when necessary and required
  • Bilingual in Spanish is a plus.
  • Strong teamwork and respect for colleagues.
  • Able to work independently with minimal supervision.
  • Ability to work flexible shifts and hours, including weekends, to meet the demands of the business
