Executive Assistant, Administration

The Executive Assistant, Administration will be responsible for the direct administrative support of the Administrator, Executive Administrative Assistant and the Board of Governors. Coordinates with the Executive Administrative Assistant with Medical Staff activities and support of the Chief of Staff. Maintains calendars, makes travel arrangements, coordinates schedules, attends meetings and composes minutes and other correspondence as directed. Assists with special projects, answers questions, directs employees, visitors and patient families and other constituents to appropriate resources. Maintains confidentiality with sensitive business communications.

Key Responsibilities:

Board of Governors Activities

  • Serves as primary back up to the Executive Administrative Assistant
  • Responsible for typing correspondence and Board information for Chairman of Board and acquires Board Chairman's signature as needed.
  • Attend Board meetings and perform duties of Recording Secretary as needed.
  • Coordinates meetings and special activities for Board of Governors.

Agreements & Contracts

  • Hospital lead for maintaining agreements and service contracts in coordination with Shriners Children's Legal Department.
  • Ensures accurate and timely submission of a variety of monthly and yearly administrative reports.

Verbal and Written Communications

  • Answers incoming phone call courteously, dispatching calls as appropriate & taking accurate message information.
  • Initiates & maintains filing systems allowing for easy document retrieval.

Meeting Planning

  • Coordinates in-house meetings as requested.
  • Maintains a calendar of available meeting space and answers requests for use of such, in-house and out of house.

Community Relations

  • Assists with special events as directed, coordinates group visits & conducts tours upon request.
  • Represents Administrator & Board of Governors appropriately to internal & external parties.

This is a part-time position. Weekly schedule is 8AM - 12PM Noon Monday through Friday with some flexibility if approved by hiring manager.

Required Qualifications:

  • 4 years of administrative assistant experience within healthcare
  • 5 years of MS Office experience
  • 5 years of related writing/editing skills
  • High School Diploma/GED

Preferred Qualifications:

  • Associate's or Bachelor's Degree
  • Knowledge of medical terminology

Compensation is determined based on years of relevant experience and departmental equity.
