Job Summary:
The Administrative Coordinator will work directly with the Operations Manager and Sales staff and will be responsible for performing administrative tasks for assigned locations as required.
Supervisory Responsibilities:

Essential Responsibilities:
  • Answer and route phone calls of customers, suppliers, and truckers according.
  • Read and reroute incoming mail, email, and phone messages, and process outgoing mail and shipments.
  • Support all staff with organization procedures including filing, billing, accounts payable, timesheets, and scheduling.
  • Assist Corporate HR in onboarding, employee relations, policy requests, and benefit enrollment.
  • Assist with the collection of outstanding customer receivables through phone and written correspondence.
  • Process and maintain new customer and vendor paperwork and accounts in the Company computer system.
  • Process invoices, return orders, and purchase orders daily.
  • Process customer credit card payments.
  • Process project preliminary notices.
  • Maintain communications with Corporate Headquarters in a timely and professional manner.
  • Maintain the general appearance and environment of the Office.
  • Follow prescribed safety regulations.
  • Punctual and reliable attendance.
  • Other tasks and responsibilities may be added at management's discretion.

  • Time Management - Manages time by prioritizing and organizing workload to achieve maximum productivity and adjusting as situations change.

  • Dependability - Punctual and fulfills work and time requirements by adhering to work schedule and complies with attendance and leave policies and plans accordingly for absences.
  • Customer Service - Commitment to delivering high-quality product and service by adjusting priorities, anticipating, and meeting the needs of the customer and continuously striving to ensure their satisfaction.
Education & Experience:
  • High School Diploma or Equivalent
  • 4+ years' experience as an Administrative Coordinator/Office Management or other relevant administrative support experience
  • 2+ years' experience with Microsoft Office suite products
Physical Requirements:
  • Work involves exerting up to 20 pounds of force occasionally using any combination of body, hands, fingers, arms, legs, and feet to complete tasks. Walking or standing occasionally and sitting to a significant degree.
  • This position will have occasional local travel using personal vehicle.
