Executive Assistant, Business Operations

Location: Remote (Must overlap with PST hours) Reports to: Chief Operating Officer (COO) / Head of Operations

Role Overview

We're looking for a highly organized, operations-minded Executive Assistant to support our leadership team. This is not your traditional EA role—it blends high-level administrative support with hands-on involvement in business operations, retail activations, and special projects. Key Responsibilities 1. Calendar & Workflow Management
  • Own and optimize the executive calendar, coordinating across multiple time zones and stakeholders.
  • Schedule and prep for meetings with internal teams, external partners, and vendors.
  • Anticipate scheduling conflicts and proactively resolve issues before they arise.
2. Operational Project Coordination
  • Support operational initiatives including product rollouts, event logistics, and cross-functional workflows.
  • Track deliverables, update project timelines, and ensure deadlines are met.
  • Collaborate across departments to align resources and unblock tasks.
3. Travel & Event Logistics
  • Coordinate all aspects of executive travel (booking, budgeting, itineraries).
  • Assist with logistics for brand events, pop-ups, and physical activations—remotely managing vendors, venues, and timelines.
4. Communication & Correspondence
  • Serve as the gatekeeper and liaison for executive communication.
  • Draft professional emails, memos, meeting notes, and internal updates.
  • Maintain confidentiality and clear, responsive follow-through.
5. Reporting & Admin
  • Help create and maintain dashboards, reporting on KPIs, budgets, and project performance.
  • Handle expense reports, vendor coordination, and light bookkeeping tasks.
  • Assist with operational documentation, SOPs, and internal process updates.
Qualifications

Required

  • 4+ years experience supporting executive leadership in a high-growth environment (fashion, retail, CPG, or startup experience ideal).
  • Excellent organizational, communication, and multitasking skills.
  • Comfortable working independently and cross-functionally in a remote environment.
  • Proven ability to manage high-volume scheduling, shifting priorities, and sensitive communications.
  • Must be available to work during core PST hours.

Preferred

  • Experience in event planning, retail operations, or brand activations.
  • Familiarity with tools like G-Suite, Slack, Notion, Asana, and expense management platforms.
  • Passion for mental health, mission-driven work, or creative industries.
