Job description

Position Summary:  The Accounts Payable Specialist is responsible for accounts payable and payroll for Missions Inc. Programs. This is a .6 FTE (24 hours per week.)
Position Responsibilities
  1.  Accounts Payable:
  1. Receive all accounts payable (A/P) invoices via Microix or email/mail/hand delivery, secure appropriate approvals, and code to appropriate general ledger accounts.
  2. Enter and process A/P invoice.  Prepare and mail checks weekly or process ACH payments.
  3. Maintain A/P filing system.
  4. Prepare monthly benefit spreadsheet allocating costs by program/department.
  5. Review monthly statements and perform account reconciliation to ensure all accounts are current.
  6. Maintain good vendor relationships.
  1. Payroll
  1. Process bi-weekly payroll in Workforce Now once all timecards have been reviewed and approved by managers.
  2. Save the payroll reports for each pay period.
  3. Process payments for employee deducted retirement benefits.
  4. Save quarterly tax reports provided by ADP.
  5. Maintain strict confidentiality of payroll records.
  1. Work Program
  1. Verify hours reported on work program time sheets; update semi-monthly work program spreadsheet reflecting hours from time sheets.
  2. Calculate and prepare payments for residents.
  3. Maintain client ledger sheets and Resident Savings balances.
  1. Fixed Assets
  1. Maintain Fixed Asset system.
  2. Enter any additions or deletions into Fixed Asset system.
  3. Run monthly depreciation journal entries and reconcile fixed asset detail to the General Ledger.
  4. Maintain fixed assets additions file.
  1. Other Accounting
  1. Prepare weekly cash deposit.
  2. Prepare and enter journal entries.
  3. Prepare monthly storeroom charges.
  4. Maintain & process monthly recurring journal entries.
  5. Other tasks as assigned by the Finance Director.
Experience:
  1. Competency in generally accepted accounting principles (GAAP).
  2. Excellent computer skills including Microsoft Word, Excel, and accounting and accounts payable (purchasing) software.
  3. Two or more years’ experience in accounts payable, preferably with experience in payroll processing.
 
Skills and Knowledge
  1. Strong attention to detail and organization skills.
  2. Ability to demonstrate exceptional customer service.
  3. Effective written and verbal communication skills.
  4. Ability to multi-task.
  5. Ability to work well with people from diverse racial, cultural, social and economic backgrounds.
  1. Other Requirements
  1. Ability to pass a criminal background check.
  2. Must be able to bend, stoop, kneel and climb (ascend and descend) flights of stairs.
  3. Other lifting or physical requirements as added from time to time, or as required performing the essential functions of the position.
Salary: Salary range $22.00 - $25.00/hour depending on qualifications and experience.
