Job description

The Accounts Payable Specialist Intern will be a reliable and precise professional to help support the Accounting department and properly maintain Accounts Payable.
Essential Duties and Responsibilities:
  • Invoice Keying: Enter high-volume vendor invoices, credit notes, and expense bills into the accounting system with speed and precision.
  • Payment Enrollment Outreach: Proactively contact vendors via phone and email to confirm, verify, and enroll them in preferred electronic payment options (ACH/EFT).
  • Email Queue Management: Assist with monitoring the main AP inbox, triage vendor inquiries, and route internal payment approvals.
  • Discrepancy Resolution: Collaborate with vendors and internal departments to fix billing errors, missing data, or payment delays.

Supervisory Responsibilities:
No formal supervisory role.
Education and Experience Requirements:
  • High-Accuracy Data Entry: Strong alphanumeric keying skills to minimize manual entry errors.
  • Professional Communication: Excellent phone etiquette and clear email writing skills for vendor onboarding and customer service.
  • Digital Literacy: Proficiency in Microsoft Outlook/Gmail and accounting or AP automation software (e.g., NAV, Microsoft BC, Sage).
