Job description

Accounts Payable Administrator


Position Summary

We are seeking an experienced Accounts Payable Administrator to support the accurate and timely processing of vendor invoices and payments. This role is responsible for maintaining accounts payable records, ensuring compliance with company procedures, and assisting with payment processing activities.


Key Responsibilities

  • Process vendor invoices, including three-way matching of purchase orders, receipts, and invoices.
  • Review, code, and enter non-purchase order invoices.
  • Assist with scheduled payment runs, including checks and electronic payments.
  • Process vendor credits and maintain related documentation.
  • Track and reconcile vendor prepayments and outstanding balances.
  • Communicate with vendors to resolve invoice discrepancies and payment inquiries.
  • Review employee expense reimbursement submissions for accuracy and policy compliance.
  • Maintain accurate financial records and supporting documentation.
  • Support month-end and other accounting activities as needed.
  • Perform additional duties and special projects as assigned.


Qualifications


Education & Experience


  • Bachelor's degree in Accounting, Finance, Business, or a related field preferred; equivalent experience will be considered.
  • Approximately 5–7 years of accounts payable or related accounting experience.
  • Experience working with ERP systems and financial software.

  • Dependable, professional, and capable of working independently.
  • Strong data entry and recordkeeping skills.
