Position Summary

We are seeking a detail-oriented and dependable Accounts Payable & HR Specialist to join our team. This role is ideal for a professional with at least 5 years of Accounts Payable experience, 2+ years of Human Resources experience, and advanced proficiency in QuickBooks Desktop.

The successful candidate will manage the full Accounts Payable cycle while supporting key Human Resources functions, including onboarding, payroll support, employee records, benefits administration, and compliance. This position requires exceptional organizational skills, accuracy, confidentiality, and the ability to effectively manage multiple priorities in a fast-paced environment.

Responsibilities Accounts Payable

  • Process high-volume vendor invoices accurately and efficiently.
  • Verify invoice approvals, coding, and supporting documentation.
  • Prepare and process weekly check runs and electronic payments.
  • Reconcile vendor statements and resolve invoice discrepancies.
  • Maintain vendor files, including W-9s and payment records.
  • Monitor AP aging and ensure timely vendor payments.
  • Assist with month-end and year-end closing activities.
  • Maintain accurate financial records using QuickBooks Desktop.
  • Provide documentation and support during financial audits.

Human Resources

  • Coordinate employee onboarding and new hire documentation.
  • Maintain confidential employee personnel files.
  • Assist with payroll preparation and employee timekeeping.
  • Administer employee benefits enrollment and updates.
  • Track PTO, attendance, and leave records.
  • Ensure compliance with company policies and employment regulations.
  • Schedule interviews and maintain temporary employee files.
  • Prepare employment verification letters and HR documentation.
  • Support employee relations and HR initiatives.
  • Serve as a resource for employee questions regarding HR policies, forms, and benefits.

Administrative Support

  • Provide administrative support to the Controller.
  • Maintain confidentiality of financial and employee information.
  • Assist with special projects and process improvements.
  • Communicate professionally with vendors, employees, and management.
  • Perform additional duties as assigned.

Qualifications Required

  • Minimum 5 years of Accounts Payable experience.
  • Minimum 2 years of Human Resources experience.
  • Advanced proficiency in QuickBooks Desktop (required).
  • Experience with employee timekeeping and payroll support.
  • Strong understanding of accounting principles and Accounts Payable processes.
  • Proficiency with Microsoft Office, particularly Excel and Outlook.
  • Excellent organizational, communication, and time management skills.
  • Strong attention to detail and accuracy.
  • Ability to maintain strict confidentiality.
  • Ability to work independently and collaboratively.

Preferred

  • Associate's or Bachelor's degree in Accounting, Finance, Human Resources, or a related field (or equivalent professional experience).
  • Experience in a manufacturing or service industry.
  • Knowledge of employment laws and HR compliance.
