Position Summary
We are seeking an experienced, detail-oriented, and highly organized Accounts Payable & Human Resources Specialist to join our team. This position plays a critical role in managing the company's accounts payable processes while supporting key human resources functions. The ideal candidate has a minimum of five (5) years of Accounts Payable experience, strong knowledge of accounting principles, advanced proficiency in QuickBooks Desktop, and experience supporting HR administration.

This role requires exceptional attention to detail, sound judgment, confidentiality, and the ability to manage multiple priorities in a fast-paced environment. The successful candidate will work closely with the Controller and serve as a trusted resource for employees, vendors, and management.

Essential Responsibilities

Accounts Payable
  • Manage the full accounts payable cycle, including invoice receipt, coding, approval verification, and payment processing.
  • Process high-volume vendor invoices accurately and efficiently.
  • Prepare and process weekly check runs and electronic payments.
  • Reconcile vendor statements and resolve invoice discrepancies in a timely manner.
  • Maintain vendor records, including W-9 forms and payment documentation.
  • Monitor accounts payable aging to ensure timely and accurate payments.
  • Assist with month-end and year-end closing activities.
  • Maintain accurate financial records using QuickBooks Desktop.
  • Support internal and external audits by providing requested documentation and reports.
  • Identify opportunities to improve AP processes and internal controls.
Human Resources
  • Coordinate employee onboarding, new hire documentation, and orientation paperwork.
  • Maintain confidential employee personnel files and HR records.
  • Assist with payroll preparation, employee timekeeping, and attendance tracking.
  • Administer employee benefits enrollments, changes, and related documentation.
  • Track employee leave, paid time off (PTO), and attendance records.
  • Prepare employment-related documentation, including verification of employment and personnel correspondence.
  • Assist with recruiting activities, including interview scheduling and maintaining applicant and temporary employee files.
  • Ensure compliance with federal, state, and company employment policies and procedures.
  • Respond to employee questions regarding HR policies, benefits, forms, and procedures.
  • Support HR initiatives, employee engagement activities, and other departmental projects.
Administrative Support
  • Provide administrative support to the Controller.
  • Maintain strict confidentiality of financial and employee information.
  • Assist with special projects, reporting, and process improvement initiatives.
  • Communicate professionally with vendors, employees, management, and external partners.
  • Perform other duties as assigned to support daily business operations.

Qualifications
Required
  • Minimum of 5 years of Accounts Payable experience.
  • Minimum of 2 years of Human Resources or HR administrative experience.
  • Advanced proficiency with QuickBooks Desktop.
  • Experience processing high-volume accounts payable transactions.
  • Experience with employee timekeeping and payroll support.
  • Strong understanding of accounting principles and accounts payable best practices.
  • Proficiency in Microsoft Office Suite, particularly Excel and Outlook.
  • Excellent organizational, analytical, and problem-solving skills.
  • Strong written and verbal communication skills.
  • High level of accuracy, attention to detail, and ability to meet deadlines.
  • Ability to handle sensitive and confidential information with discretion.
  • Self-motivated with the ability to work independently and collaboratively.

Preferred
  • Associate's or Bachelor's degree in Accounting, Finance, Human Resources, Business Administration, or a related field; equivalent professional experience will be considered.
  • Experience in manufacturing, construction, or service-based industries.
  • Knowledge of payroll processing and employment law compliance.
  • Experience with HRIS or payroll systems.
