Job description

ACCOUNTS PAYABLE / HR ASSISTANT


Potential Duties/Responsibilities:

  • Open, sort and record vendor invoices received for multiple entities to Quickbooks
  • Maintain accounts payable vendor files
  • Request tax and insurance information from vendors
  • Enter, maintain, and/or process information in the payroll system; information may include employees’ hourly rates, salaries, commissions, bonuses or other compensation, time worked, paid leave and holidays, deductions and withholding, address changes, and other information
  • Ensure the proper processing of payroll deductions for taxes, benefits, garnishments and other deductions. Issues, or reissues, physical or replacement checks or direct deposits due to payroll errors or final discharge
  • Maintain employee master files
  • Help ensure compliance with employment laws, regulations, and organizational policies
  • Assist with coordinating and supporting employee training and development programs to enhance the skills and knowledge of the workforce
  • Assist in recruiting and hiring new employees and interns for the organization. This may include drafting job descriptions, posting job openings. Assist in job posting creation and distribution on various platforms.
  • Post job openings, screen candidates, and schedule job interviews
  • Performs other duties in support the accounting & human resources functions as assigned


Skills/Abilities:

  • Bilingual in Spanish ideal/preferred
  • Basic understanding of the accounts payable process
  • Knowledge of federal and State of California pay laws, rules, regulations and computations
  • Prior work experience in either accounts payable or payroll processing preferred but not required
  • Excellent organizational skills and attention to detail
  • Proficient with Microsoft Office Suite
  • Must be a team player and work well with others
  • Must have strong communication skills.


Education and Experience:

  • High school diploma or equivalent required
  • Associate's degree or above strongly preferred
  • Two years of experience in accounting and/or human resources strongly preferred
  • Past experience with PayChex or ADP payroll platforms desired but not required
  • Past experience with Quickbooks (or similar) desired but not required


Expected compensation range of $25-28/hour
