Work Location: Boca Raton, FL, 33432
Payrate: $24-$31/hr on w2 DOE
Duration: 3+ Months role with high chances of extension/conversion

Job Description:

  • We are seeking an Accounting & Operations Specialist with 24+ months of experience who can manage both financial and operational responsibilities across multiple small companies. This role requires strong expertise in QuickBooks Desktop and advanced Microsoft Excel, along with the ability to handle day-to-day accounting, financial reporting, compliance, and light administrative and logistics coordination.

Key Responsibilities

  • Expertise in QuickBooks Desktop and Microsoft Excel (advanced test required).
  • Create, analyze, and interpret financial spreadsheets and data.
  • Generate regular financial reporting and tracking for multiple small companies.
  • Enter bills, pay vendors, make journal entries, and collect receivables.
  • Prepare monthly, quarterly, and annual financial statements.
  • Liaise with third-party finance companies on customer & vendor transactions.
  • Ensure timely filing of quarterly sales and use tax returns and other state/federal regulatory documents.
  • Coordinate inbound and outbound shipments with logistics and warehouse providers, including inventory management.
  • Manage international and domestic shipping activities (FedEx, DHL, USPS, etc.).
  • Support stockholder activities, including maintaining ledgers and preparing documents for annual general meetings (AGMs).
  • Perform light administrative tasks such as answering the phone, responding to emails, and maintaining digital/physical records and accounting systems.

Required Skills & Qualifications

  • QuickBooks Desktop experience required.
  • Strong organization and time-management skills with the ability to prioritize workload.
  • Excellent oral and written communication skills.
  • Ability to provide support via phone, email, and in-person.
  • Proficient with Windows 11 and Microsoft Office Suite (Word, Excel – advanced preferred, PowerPoint, Outlook).
  • Professional work ethic with the ability to maintain confidentiality.
  • Diplomatic and tactful in interactions with internal/external associates, clients, and customers.
  • Comfortable working with international partners.
