JOB TITLE: Accounting Associate – Accounts Payable

REPORTS TO: Accounts Payable Supervisor

DEPARTMENT: Accounting

JOB SUMMARY:

Position will play a necessary role in ensuring the Company’s accounts payable transactions are processed and paid in an accurate and timely manner. Position will be responsible for processing vendor invoices/payments, researching invoice discrepancies, and maintaining records and supporting documentation to properly reflect financial transactions of the Company.

BASIC JOB FUNCTIONS:

  • Process accounts payable invoices and payment requests timely, accurately, and in accordance with company policies and procedures
  • Ensure all invoices and/or payment requests include appropriate documentation and approval prior to invoice processing
  • Ensure proper 3-way match of order invoices to purchase orders and receiving documents
  • Process non-P.O. invoices in accordance with Delegation of Authority approval limits
  • Prioritize invoice processing to ensure timely payment of critical vendors, adhere to payment terms, and to maximize cash discounts
  • Reconcile vendor statements, research, and correct discrepancies
  • Correspond with vendors and respond to all vendor inquiries
  • Research and resolve received but not invoiced (RNI) discrepancies
  • Collaborate and communicate effectively with vendors, Sourcing, Accounting, other Company Departments
  • Monitor employee expense reports for compliance with company policy
  • Maintain complete and accurate records and documentation, in accordance with company policy and federal/state requirements
  • Assist in month end closing as needed
  • Assist with AP related projects, includes implementing enhancements and departmental improvements

GENERAL JOB REQUIREMENTS:

  • High School diploma required. Associates degree in Accounting or college equivalent coursework preferred.
  • Two or more years accounts payable experience preferred
  • Previous experience utilizing large accounting systems desirable (Ex: Oracle, SAP, MS Dynamics)
  • Experience in using Microsoft Office Suite including Outlook, Excel, and Word
  • Detailed oriented with strong organizational and time management skills
  • Strong work ethic and reliable, with the ability to work independently in a fast-paced, high-volume environment with emphasis on accuracy and timeliness
  • Ability to analyze and research issues, develop potential solutions, and document results
  • Strong professional communication skills (oral and written)
  • Excellent teamwork and collaboration skills
  • Active listening skills and ability to consistently follow directions
  • Ability to adapt to changing priorities
