Sheehy Auto Stores is seeking a detail-oriented Accounting Assistant with previous dealership experience to support our accounting operations in a fast-paced automotive environment. This role plays a critical part in ensuring accurate financial transactions across vehicle sales, service, and parts departments while supporting month-end close and reporting.

Responsibilities

  • Track Contracts in Transit (CIT) and Vehicle Receivables status to ensure timely funding
  • Review and correct accounting schedules
  • Monitor and resolve daily deal issues
  • Perform daily reconciliation and posting of deposits
  • Process customer refunds and referral payments
  • Handle warranty cancellations and submissions
  • Post vehicle sales, service, and parts transactions accurately and in a timely manner in the DMS
  • Generate and post customer invoices; apply payments to accounts receivable (AR)
  • Reconcile AR schedules and ledgers; investigate and resolve discrepancies
  • Monitor outstanding balances and assist with collections and follow-up
  • Obtain revenue and process invoices by verifying and completing payable and receivable transactions
  • Assist with month-end close, reporting, and maintaining accurate financial records
  • Work closely with the Office Manager to ensure accurate transaction processing

Requirements & Qualifications

  • Previous dealership experience is required
  • Experience in automotive accounting, billing, or dealership office support preferred
  • Knowledge of AP/AR processes and basic accounting principles
  • Experience with Dealership Management Systems (DMS) required
  • Reynolds & Reynolds experience preferred
  • Ability to balance and manage large-volume accounts
  • Strong attention to detail and accuracy in reconciliation and data entry
  • Excellent organizational, multitasking, and time-management skills
  • Fast learner who is adaptable and comfortable in a demanding environment
  • Ability to work independently and collaboratively as part of a team
  • Strong written and verbal communication skills
  • Authorized to work in the United States
  • Ability to pass a pre-employment background check, MVR, and drug screening
  • Must have a valid driver’s license
