ROLE OVERVIEW

Bormann Brothers Inc. is looking for a motivated Accounting & Administration Associate to support the company’s accounting, finance, reporting, compliance, and office administration activities.

This is a hands-on role for someone with a strong foundation in accounting or bookkeeping who wants to build practical experience in a busy operational business. The successful candidate will work closely with the Head of Accounting & Administration, receive coaching in the role, and take on increasing responsibility as their knowledge and confidence develop.


KEY RESPONSIBILITIES

·  Accounting & bookkeeping support: Assist with day-to-day accounting entries, maintaining accurate records, preparing reconciliations, supporting month-end activity, and keeping QuickBooks, spreadsheets, and supporting documentation up to date.

·  Accounts receivable & billing: Support customer invoicing, billing records, customer portals, receivables tracking, payment follow-up, and resolution of billing queries.

·  Accounts payable: Help enter, code, and process vendor invoices; maintain vendor records; support payment scheduling; and assist with credit card expense coding.

·  Cash management & banking: Assist with daily bank activity review, cash tracking, ACH activity, deposits, transfers, and bank reconciliations.

·  Payroll support: Help gather and check payroll-related information, reconcile timecards and supporting records, and maintain confidentiality of payroll and employee information.

·  Financial reporting & controls: Support preparation of monthly reports, AR/AP aging, payroll and tax reconciliation information, bank and credit card reconciliations, and information required by external accountants.

·  Insurance, compliance & records: Assist with Certificates of Insurance, insurance renewal administration, vendor/customer compliance documents, tax-related support, DOT/state filings, OSHA logs, and workers’ compensation documentation.

·  Office & administration support: Provide general office support including filing, document management, mail, customer service backup, phone coverage, and coordination with operations, dispatch, HR, and administration.


WHAT WE'RE LOOKING FOR

Required

· Accounting, bookkeeping, or finance qualification.

· Good understanding of basic accounting principles.

· Strong attention to detail and accuracy.

· Good Excel or spreadsheet skills.

· Organized, reliable, and able to meet deadlines.

· Professional handling of confidential information.

Preferred

· Degree in accounting, finance, business, or a related field.

· Relevant accounting, bookkeeping, finance administration, payroll, or office experience.

· Experience with QuickBooks or similar accounting systems.

· Experience in a service-based, logistics, moving, construction, or operations-led business.

· Exposure to AR, AP, payroll support, recurring billing, job costing, or reconciliations.
