Receptionist

Department: Administration / Front Office
Location: Covenant Glen of Frankenmuth

Position Summary

The Receptionist is responsible for providing a welcoming, professional first point of contact for residents, families, visitors, staff, and outside vendors. This position manages incoming telephone calls, assists with administrative duties, and supports the financial and billing operations for residents and their families.

Essential Responsibilities

Front Desk & Telephone Operations

  • Answer and direct all incoming telephone calls in a professional and courteous manner.
  • Take accurate messages and ensure calls are directed to the appropriate department or staff member.
  • Greet residents, families, visitors, and vendors and provide assistance as needed.
  • Respond to general questions and provide accurate information while maintaining confidentiality.
  • Maintain a professional and organized reception area.
  • Assist with scheduling, correspondence, filing, and other administrative tasks.

Resident Billing & Financial Operations

  • Support billing and financial operations for all residents.
  • Prepare, review, and maintain resident billing information and related records.
  • Process and track monthly charges, payments, credits, and account adjustments.
  • Communicate with residents and families regarding statements, balances, billing questions, and payment information.
  • Follow up on outstanding balances and assist families with resolving billing discrepancies.
  • Maintain accurate and confidential financial records.
  • Coordinate with administration and accounting staff regarding resident accounts and financial matters.
  • Handle sensitive financial information with professionalism and strict confidentiality.

Resident & Family Support

  • Provide courteous and compassionate service to residents and their families.
  • Serve as a reliable point of contact for routine questions and requests.
  • Communicate concerns or issues to the appropriate staff member promptly.
  • Maintain positive relationships with residents, families, staff, and community partners.
Qualifications
  • Previous receptionist, administrative, billing, accounting, or customer service experience preferred.
  • Strong telephone and communication skills.
  • Excellent organization and attention to detail.
  • Ability to handle confidential financial and resident information.
  • Basic computer skills and ability to learn billing and administrative software.
  • Ability to work independently while also functioning effectively as part of a team.
