College/Department Information
The Controller's Division Missions are: Account for all financial resources and provide advice to administrators, faculty, and students to support the University's overall mission of instruction, research, and healthcare services; Manage the investment of all University funds to ensure maximization return on investments; Receive and deposit all funds due to the University in a timely manner; Ensure compliance with both internal and external regulations, policies and procedures; Maintain and process the University payroll, accounts payable, and travel disbursements efficiently, accurately, and timely; Prepare financial and statistical information to the University management, federal and state agencies, and other interested parties; Maintain the University's accounting and financial reporting systems.
Job Summary
Actively participate in financial asset accounting activities, including assisting in the preparation of monthly and/or annual financial statements, reconciliation of general ledger and subsidiary accounts, assist departments and the Financial division in financial requests and other duties as prescribed.
Responsibilities
The duties include, but are not limited to:
Manage and report capital projects totaling over $20 million per year with detailed activity schedules used to complete several of the notes to the financial statements in the Annual Financial Report.
Manage invoices for all major capital projects to confirm funding availability and verify appropriate use of funds. Manage receivables for state and federally funded projects and work with specific agencies to resolve any collection issues (i.e., GSFIC).
Manage the month-end processes to populate the PeopleSoft Asset Module activity onto the general ledger and close the capital ledger each month.
Perform monthly reconciliations for capital asset activity and depreciation.
Work closely with Asset Management Specialist to investigate and resolve any asset issues.
Run and create queries in PeopleSoft Financial System to extract necessary data. Work in MS Access, Excel and other programs to perform reconciliations and prepare reports.
Examine requisitions for major capital projects to confirm appropriate usage of accounting classification codes as defined in the BOR Business Procedures Manual.
Prepare capital assets footnote on the Annual Financial Report with summary and detailed activity of capital assets by category.
Conduct monthly reconciliations between the general ledger and feeder systems (i.e., Asset Management) to ensure synchronicity.
Establish budgets in the financial system for major capital projects and prepare budget transfers as necessary (i.e., MRR & GSFIC funded projects).
Assist with other duties as assigned.
Required Qualifications
Educational Requirements
Bachelor's degree from an accredited college or university in accounting or business with concentration in accounting, along with five years of applicable experience in accounting, financial reporting or other related field.
Other Required Qualifications
The position interacts with faculty, staff, administrative personnel, department managers, other state entities, state external and internal auditors within and outside of the organization. The position must effectively communicate across all levels of the university. A positive and professional attitude is critical while communicating various types of information, explaining policy, providing financial advice and reports, and promoting excellent customer service.
Correctly reporting for over $720 million in capital assets. Because of capital asset materiality, it is imperative this reporting be done accurately with diligence and professionalism, otherwise this would have an adverse effect on the annual state audit.
Demonstrated customer service track record.
Preferred Qualifications
Preferred Experience
Experience in a comprehensive financial environment, preferably university governmental accounting. Understanding of Augusta University's accounting system and BOR business procedures and reporting requirements. Ability to evaluate current processes and develop alternatives, if necessary. Extensive experience/familiarity with PeopleSoft Financials. Strong spreadsheet, database, and query skills.

This position also requires the ability to analyze documents and financial data and memorize policy and procedures that govern the scope of duty.
