Job Description

This posting is specific to the Assessment Office and primarily involves administrative support and customer service duties through phone, front counter, and email communications. The role generally does not involve handling money or processing payments.

ESSENTIAL JOB FUNCTIONS

Performs various clerical, accounting and recordkeeping tasks.

Prepares various reports, receives cash, processes payments and posts journal entries.

Verifies the accuracy, completeness and consistency of accounting information.

Prepare general correspondence, bills, and vouchers.

Maintains records of customer accounts and analyzes and prepares summary reports.

Enter and retrieve data from the computer or other devices using various software systems.

OTHER JOB FUNCTIONS

May provide information to the public regarding departmental programs and answer telephone inquiries.

May receive monies of a significant proportion from the public, including processing of electronic payments.

May input payroll.

May record property transfers, process certificates and apply statutory exemptions.

May record disbursements, expenses and other payments.

May use proprietary software systems to accomplish various tasks.

Performs other duties as assigned.

DESIRABLE KNOWLEDGE, SKILLS AND ABILITIES

Knowledge of basic clerical, billing and recordkeeping procedures.

Ability to use computers with a variety of software programs, including Microsoft Word, Excel, and Munis.

Ability to establish and maintain effective working relationships with employees and the public.

PHYSICAL AND MENTAL EFFORT/ENVIRONMENTAL AND WORKING CONDITIONS

Must be mobile and able to push and pull objects at less than 20 pounds. Able to sit for prolonged periods. Able to perform manipulative tasks such as writing, collating, using a calculator, and skills which require hand-eye coordination, such as using a computer.

Must be able to see objects closely, as in typing or reading a document. Able to hear normal sounds with background noise, distinguish voice patterns, and communicate through speech, as in using a telephone.

Must be able to concentrate on fine details with constant interruption, attend to tasks for 45–60 minutes at a time, remember multiple assignments given over long periods of time, and understand the theories behind several related concepts.

Ability to work professionally with co-workers, supervisors, customers and the public at large.

May be exposed to dust, fluctuations in inside temperatures and electro-magnetic radiation as in computer screens.

MINIMUM TRAINING AND EXPERIENCE

Graduation from high school or equivalent plus two (2) years’ experience in basic accounting, recordkeeping or administrative work. Associate’s degree preferred. Experience with Outlook, Access, Excel, and Munis a plus.
