Job description

Job Title: Patient Access Coordinator
We are seeking a Patient Access Coordinator to join our team!
Our Patient Access Coordinators are responsible for a variety of duties including scheduling appointments via telephone and monitoring assigned templates to ensure proper patient flow and adequate availability of appointment slots. This position demands exceptional customer service skills to foster welcoming and positive interactions with our patients, ensuring alignment with our core values. The candidate must demonstrate strong multitasking abilities and maintain a high standard of professional etiquette.
Location: Tacoma, WA. Occasional travel to other clinic locations based on staffing needs is required, as determined by the Managers or Administrators.
Schedule: Full-time, 8 am - 5 pm Monday through Friday (40 hours per week), with some Saturday shifts required (8 am - 1 pm) at an additional $3.50 per hour weekend differential. Saturday rotation is required approximately once every 6-8 weeks.
Pay: $22.21 - $33.17 per hour. Salary commensurate with experience.
Key Responsibilities (include, but not limited to):
  • Answers assigned office line and overflow lines in a timely manner.
  • Clears voicemails and makes return calls in a timely manner.
  • Schedules appointments following provider templates and processes.
  • Verifies all patient demographic information during the scheduling of the appointment.
  • Monitors and maintains assigned schedules to ensure proper patient flow.
  • Works closely with Office Leads to fill and maintain provider schedules.
  • Relays telephone messages to the appropriate person, i.e. nurse messages.
  • Prepares for possible daily computer unavailability by printing and storing provider’s daily schedules.
  • Verifies state insurance and PCP assignment for proper placement and coverage of patients.
  • Reschedules appointments to accommodate changes in the providers’ schedules when necessary.
  • Works closely with the front office staff.
  • Confirms patient appointments when needed.
  • Attends all Support Services mandatory meetings.
  • Must work well under pressure, meeting multiple and sometimes competing deadlines.
Qualifications:
  • Education –High School diploma or equivalent.
  • Experience – 1 or more years’ experience working in customer service. Preferred experience in a medical office setting and/or in a call center environment.
  • Preferred experience working with Electronic Medical Records (EMR) systems.
  • Experience with Microsoft Office Suite.
  • Spanish Speaking is Preferred.
