Job description
The Office of Academic Affairs provides oversight of the education curriculum and enables the success of students and faculty in teaching and learning, research, and creative expression. We are dedicated to advancing the academic mission, vision, and goals of the UCF College of Medicine located in Lake Nona and are committed to achieving the highest levels of academic excellence.
The Opportunity:
The Academic Program Administrator provides academic administration support to the MD program at the UCF College of Medicine. This position supports the Longitudinal Advanced Skills and Professional Development courses, along with the ongoing support tasks tied to this course. Additionally, this position supports other academic needs across all four years of the MD program. This position reports to the Director of Academic Affairs and the Director of Longitudinal Programs to make sure the courses and academic programs run smoothly.

Responsibilities:
Academic Program & Course Coordination:
- Coordinate the Longitudinal Advanced Skills and Professional Development courses within the M3/M4 curriculum, including course scheduling, room reservations, development of course materials, and coordination of faculty and guest speakers.
- Monitor student attendance, assignment completion, and required skills assessments to ensure compliance with curriculum requirements.
- Manage concurrent course activities throughout the academic year, resolving scheduling conflicts, operational challenges, and last-minute changes.
- Serve as a primary point of contact for students and faculty regarding course-related questions and issues.
Academic Operations & Student Services:
- Provide academic and operational support across the MD program, including classroom support, examination proctoring, and instructional activities in both in-person and virtual environments.
- Coordinate student housing logistics, partner with operational teams to ensure readiness of accommodations, and address housing-related inquiries and concerns.
- Support additional academic programs and initiatives as departmental needs evolve.
Faculty Engagement & Recognition:
- Recruit, coordinate, and maintain faculty participation in teaching, mentoring, advising, and student development activities.
- Foster strong relationships with faculty to support ongoing engagement and retention.
- Manage faculty recognition programs, including faculty spotlight features, awards, and appreciation initiatives.
- Develop faculty spotlight content by conducting interviews, gathering supporting materials, and preparing written communications for newsletters, websites, and other publications.
Educational Systems & Data Administration:
- Maintain user accounts and records within educational systems, including OASIS, Aquifer, and WISE.
- Create and update user profiles, troubleshoot access issues, reset passwords, and ensure the accuracy of system data.
- Provide technical and administrative support to faculty, staff, and students utilizing academic systems.
Student Placement & Lottery Administration:
- Coordinate the annual course lottery process, including system setup, student communications, execution of selections, distribution of results, and resolution of student inquiries and special requests.
Administrative Support:
- Perform other duties and special projects as assigned in support of departmental and program objectives.
Minimum Qualifications:
Bachelor's or Master's degree, and 2+ years of relevant experience, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219(6).
Preferred Qualifications:
- Demonstrated experience serving as a Program Coordinator or in a related administrative leadership role, with responsibility for coordinating complex programs, initiatives, or operations.
- Proven project management experience, including planning, organizing, implementing, and monitoring multiple projects, timelines, and stakeholders to achieve organizational objectives.
- Experience working in a medical, or healthcare-related setting, preferably within a higher education institution, with an understanding of academic medicine, healthcare operations, or health professions education.
The most successful candidates may possess the following qualities:
- Exceptional written and verbal communication skills, with the ability to interact professionally and effectively with a variety of audiences while conveying information clearly and accurately.
- Strong attention to detail, with a demonstrated ability to maintain accuracy, quality, and consistency when managing multiple assignments, records, and processes.
- Demonstrated flexibility and adaptability in responding to changing priorities, schedules, and operational needs while maintaining a high level of performance and service.
- Proven reliability, professionalism, and accountability, with a strong record of dependability, punctuality, and commitment to meeting expectations and deadlines.
- Proficiency in computer applications and technology tools, and the ability to quickly learn and utilize new software, databases, and systems.
Special Instructions to the Applicants:
- The anticipated hourly range for this position is $20.29- $24.86. The final rate will be determined based on the candidate's qualifications, experience, and internal equity considerations.
