JOB SUMMARY:
The 340B program coordinator serves as the liaison for all 340B-related matters. This position will report directly to the Head of Public Policy and Community Partnerships (HPPCP) while partnering with all internal departments to ensure appropriate tracking, communication, and training related to 340B Operations. The 340B Program Coordinator must effectively communicate and maintain high levels of confidentiality.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
  • Serves as program expert and liaison for all 340B & pharmacy related matters to ensure program integrity while assisting HPPCP in day to day activities of 340B pharmacy program.
  • Develops and maintains internal relationships with all relevant departments and external relationships with, but not limited to: wholesalers, manufacturers, contract pharmacies, and software vendors, as needed.
  • Actively engages with HPPCP and participates in decision-making processes related to the implementation of new 340B processes, including assisting and advising on policies and procedures related to the 340B Program.
  • Assists in development of trainings and process internal audits to maintain a state of compliance.
  • Continually assesses 340B program for opportunities to optimize and expand reach of program internally and/or externally.
  • Actively reviews policies and procedures for 340B that ensure efficiency so that long-term management of the program does not hamper operations or create unnecessary costs.
  • Provides and engages in ongoing training, education, meetings, seminars and communication required for the 340B Program and shares lessons and hot topics with leadership.
  • Regularly communicates with all staff involved with the 340B Program to be sure that processes remain efficient and to address any problems or suggestions for improvement.
  • Coordinates mechanisms for staff to communicate concerns about program and serves as liaison to provide 340B technical assistance.
  • Develops knowledge and maintains awareness of current regulations, trends, and issues pertaining to 340B & Pharmacies.
  • May assist in the development, implementation, or promotion of programmatic resources/tools to support staff.
  • Conducts and/or coordinates both quarterly internal audit and annual independent audits of all contract pharmacies, or as mandated by leadership. Documents results, follows up on any findings, and documents remediation efforts.
  • Reviews all points of service where 340B participation occurs to ensure policy and procedure compliance, covered entity eligibility, and "covered patient" eligibility.
  • Participates in projects, councils, and special initiatives related to 340B, compliance, auditing functions, vendor selection, and medication management.
  • Assists HPPCP with external compliance assessments with outside firms, where appropriate, to validate internal processes.
  • Prepares and assists in the monitoring and reporting measurements to ensure clinic staff and patient satisfaction with the 340B Program.
  • Maintains records related to job function and contributes to reports.
  • All other duties as assigned by HPPCP verbally and/or in writing.

SUPERVISORY RESPONSIBILITIES:
There are no supervisory responsibilities.

  • Demonstrated ability to manage and prioritize tasks with attention to detail.
  • Experience with analyzing and reporting data in order to identify issues, trends, or exceptions to drive improvement of results and find solutions.
  • Experience with Nextgen Electronic Health Records, or other Electronic Health Record systems preferred.
  • Expertise with Microsoft Office, not limited to Excel, Word, and Outlook.

EXPERIENCE AND EDUCATION:
  • High School Diploma or equivalent required.
  • Minimum of one (1) year of experience in a healthcare setting required.
  • Experience as a Medical Assistant or other healthcare support role preferred.
  • Must possess a current California Driver's License and maintain proof of valid automobile insurance.
  • Must be able to travel up to 40% of the time.
