Job description

Under the supervision of the University Registrar, this position is responsible for the execution of student service at the front counter and data management in the Student Information System. This includes advising students, faculty and stakeholders on registrar, academic, federal policy and procedures, evaluating extenuating circumstances, answering questions from walk-in traffic, answering the main phone line and directing calls to the appropriate destination, and maintaining the Registrar's general email account. Processes name and address changes, as well as major/minor/advisor changes, and enrollment verifications. Provides official and unofficial transcripts to current students and alumni, as well as faculty and administration. Contacts students by phone for additional information regarding their requests. Serves as a liaison between the Registrar's Office and other university administrators, staff and faculty for the transcript production process.
Responsibilities:
  • Manages and executes the academic transcript process for students, faculty, alumni and staff.
  • Manages front-line communication services to students, parents, faculty, staff and the community.
  • Assists with the management of student academic record services such as questions about policy, FERPA, etc.
  • Provides Enrollment services for all traditional students such as add/drop, myCAP assistance, and registration issues.
  • Coordinates office supply purchasing and maintains inventory records.
  • Assists with degree audit adjustments as needed.
  • Assists with transfer equivalency review process and TES/Transferology as needed.
  • Assists with the student registration process for new and continuing students.
  • Collaborates with other university offices to resolve student registration and record problems.
  • Assists with cross-training other members of the Registrar Office when needed.
  • This job description is not intended to be all inclusive and the employee will also perform other reasonably related business duties.

Qualifications:
  • Bachelor's Degree or equivalent experience preferred.
  • One year of experience in admissions, registration, student services, or a related field is advantageous.
  • One or more years prior experience in an office setting serving the public with professional and courteous qualities.
  • Knowledge of College Source TES and Transferology products is helpful.
  • Knowledge of Higher Education Registrar software such as Ellucian Colleague is helpful.
  • Excellent facility in using Microsoft Office Suite, including Word and Excel, and ability to use related office equipment.
  • Ability to handle sensitive information and maintain confidentiality; Working knowledge of FERPA.
  • Ability to communicate and effectively interact with people across cultures and worldviews, both individually and as part of a team, and to respond effectively to sensitive inquiries or complaints.
  • Success managing multiple priorities under tight deadlines, establishing goals and priorities, and demonstrating personal initiative working without close supervision.
  • Professional written and oral communication skills. Ability to effectively present information to a wide range of constituents.
  • Ability to define problems, collect data, establish facts, and draw valid conclusions.
