Job description

Overview

Job Overview: The Project Coordinator - Equipment (EC) provides high-level, precise procurement support to New Store Development by way of ordering and managing FF&E, Direct Buy and Small Wares.  A key component of this position is the dissemination of the Construction Fixture plans and determining which items need to be purchased for each unique new Sprouts store or remodel project and then issuing those PO’s within our Procurement System, Workday.  The position works extensively across each Business unit, including Construction, Procurement, IT, Marketing, Merchandising, Store Operations, as well as with a large contingent of Sprouts Vendor partners. This position drafts correspondence creates reports and coordinates special projects.


Overview of Responsibilities

Responsibilities:

  • Essential job functions: Perform equipment take-offs based on fixture plans and in coordination with standard FF&E ordering while identifying non-prototypical FF&E items specific to each project
  • Issue POs for new store fixtures, equipment and small wares for new stores, remodels and special projects
  • Assist Manager in identifying cross-functional inefficiencies, involving this roll, and developing processes and tools to maximize efficiency, transparency and accountability
  • Manage and prioritize workflow according to the development schedules and in coordination with Vendor and Project Managers to ensure timely completion of Store openings as well as internal financial timelines
  • Work with Logistics Vendors to arrange, track, and expedite freight as needed
  • Understanding of general construction terms and timelines
  • Work with Accounts Payable Department as needed to provide accurate information for data originating in the Procurement Department
  • Interact with Sprouts vendors in a professional manner befitting our stated culture
  • Confer with New Store Operations (NSO) supervising personnel to address questions, problems, and coordinate requests for purchases while cognizant of different cost centers.
  • Troubleshoot Workday FF&E, Direct Buy and small wares Questions
  • Record and maintain files and records of equipment requests
  • Maintain FF&E Small wares Master List
  • Prepare responses to correspondence containing routine inquiries related to FF&E, direct Buy and small wares
  • Prepare reports, letters, financial information and other documents, using word processing, spreadsheet, database, or other software
  • Answer phone calls and direct calls to appropriate parties
  • Perform general office duties, such as maintaining records management & historical databases, organizing meetings, and performing basic bookkeeping work
  • Account for all FF&E and Direct Buy expenditures and reconciliate by way of the Accounting Log
  • File and retrieve corporate documents, records, and reports
  • Open, sort, and distribute incoming correspondence to the necessary recipients as necessary including faxes and email
  • Be “process focused” with emphasis on maximizing efficiency and effective communication while being sensitive to cost and quality
  • Be open to change and be a change agent when called upon

Qualifications

Knowledge Skills & Abilities:

  • High school diploma required, College degree preferred with three (3) years of procurement experience and Supermarket Fixtures and Equipment purchasing experience desired; or an acceptable combination of education and experience
  • Effective communication skills, both written and verbal
  • Strong interpersonal skills
  • Above average writing, analytical, problem assessment, and problemsolving skills
  • Strong Excel skills-test will be given
  • Knowledge of principles and practices of organization, planning, records management and general administration
  • Ability to operate standard office equipment, including but not limited to, computers, telephone systems, calculators, copiers and fax machines
  • Ability to follow oral and written instructions
  • Ability to work well alone and as part of the team
  • Ability to gather and monitor information
  • Requires attention to detail and accuracy
