Summary
Supervises billing and invoicing activities to ensure timely, accurate invoices aligned to shipment/service completion, approved pricing/terms, and contractual requirements. Provides day-to-day leadership for Billing Clerks/Specialists, supports exception resolution and customer inquiries, and maintains billing controls, documentation, and reporting discipline.
Essential Duties and Responsibilities
  • Coordinate daily billing operations and invoice generation; ensure cut-off discipline and completeness.
  • Assign, monitor, and review work completed by Billing Clerks/Specialists; support staffing coverage, training, coaching, and quality reviews.
  • Review support documentation, including purchase orders, delivery/shipment confirmations, pricing/terms, and exception approvals.
  • Manage billing exceptions, pricing/terms discrepancies, and invoice corrections; coordinate resolution with sales, operations, customer service, and customers as needed.
  • Maintain billing SOPs, checklists, and control evidence for SOX/ICFR-relevant billing controls.
  • Provide billing metrics and root-cause analysis for invoice errors, disputes, rework, and recurring process issues.
  • Participate in month-end cut-off activities, reporting, and escalation of unresolved billing issues to the Billing Manager.
  • Other duties as assigned

  • Invoice sequencing and completeness controls must be reviewed independently where applicable.
  • Maintains quality oversight while following established segregation-of-duties requirements for approvals and exceptions.

Education and Experience:
  • Associate or bachelor degree preferred; equivalent relevant billing, accounts receivable, or order-to-cash experience acceptable.
  • 3-5+ years of billing/invoicing or accounts receivable operations experience preferred.
  • Prior lead, senior specialist, supervisor, training, or people-leadership experience preferred.
  • ERP billing module proficiency, strong attention to detail, and ability to review documentation for accuracy and completeness.
  • Strong communication, customer service, problem-solving, and follow-through skills.
