Job description


Responsibilities

  • Organize comprehensive project records and job folders using software to maintain operational transparency.
  • Facilitate the permitting process by coordinating with government agencies and contractors to secure necessary licenses and approvals.
  • Track and distribute vital documents, including submittals, RFIs, and change orders, to ensure subcontractors have the most current information.
  • Manage the accurate filing of Notices of Commencement and other mandatory project documentation to ensure legal and regulatory compliance.
  • Maintain blueprint version control by uploading and managing revisions to prevent costly field errors.
  • Coordinate complex logistics, including travel arrangements and material deliveries, to support field Superintendents and site staff.
  • Communicate professionally with vendors and subcontractors to resolve contract revisions and administrative inquiries.


Qualifications

  • Minimum of 2 years of experience in an administrative or project support role.
  • High School Diploma or GED.
  • Proficiency in Microsoft Office 365, specifically Excel, Word, and Outlook.
  • Proven ability to prioritize tasks and meet strict deadlines in a fast-paced office setting.
  • Prior experience working within a construction, engineering, or architectural environment.
