ENROLLMENT UNIT - PROGRAM ASSISTANT II
Location: Los Angeles, CA 90056
What We're Looking For:
Crystal Stairs is seeking qualified candidates for our Program Assistant II position. In this position under general supervision, the Program Assistant II will assess client program eligibility; answer incoming calls from calling queue, participate in community outreach, assist Family Services Specialists with case management of parent files, perform clerical duties, make follow up phone calls to parents, input information into agency databases and county GEARS. The qualified candidate will have the following responsibilities:
  1. Answer incoming client calls from the Family Services Calling Queue.
  2. Gather information and documentation to assess client program eligibility for Crystal Stairs' programs and services. Create Referral and submit packets to Enrollment Specialists for follow up.
  3. Update appropriate agency databases and logs with client eligibility information for tracking purposes.
  4. Update client information on the LA County GEARS database.
  5. Perform community outreach to increase enrollment of families for services.
  6. Schedule appointments for new enrollments and/or follow up on rescheduled appointments and no-shows, and send letters to parents of documentation needed for certification.
  7. Perform clerical duties such as mailing documents/letters, filing, handling of denied case files, and sort and distribute incoming mail.
  8. Perform other duties and special projects as assigned.

EXPERIENCE, KNOWLEDGE, SKILLS AND ABILITIES YOU SHOULD POSSESS:
  • Minimum 2 years experience working with parents receiving subsidized child care or social support services, with a minimum one year of experience in an administrative or clerical support position.
  • High School diploma required; Associate of Arts degree in the Social Sciences field preferred; years of related work experience can be substituted for the AA degree.
  • Requires knowledge and competency on Microsoft Office, LA County GEARS and other database applications.
  • Must have some knowledge of County, State and Federal program requirements for DPSS and Alternative Payment child care subsidy programs.
  • Requires excellent verbal and written communication skills.
  • Must be flexible and able to manage multiple tasks and handle changing priorities and deadlines. Strong organizational and administrative skills.
  • Requires considerable accuracy and ability to produce under tight deadlines.
  • Requires excellent problem solving skills and ability to handle challenging customer calls or requests.
  • Requires great attention to detail. Involves broad application of program knowledge.
  • Must possess ability to work with a diverse individuals, groups, and management levels.
