Role Overview

The IT Project Manager provides leadership and accountability for the successful delivery of IT initiatives within the enterprise, ensuring project outcomes meet defined objectives on time, within scope, and within budget. This role manages multiple concurrent projects of moderate complexity, orchestrating dependencies across technical teams, business units, and shared services to deliver cohesive, value-driven outcomes.

The IT Project Manager is disciplined, strategic, and execution-focused, maintaining comprehensive documentation within the IT Service Management toolkit and ensuring accurate reporting across the IT Project Portfolio. The role is accountable for end-to-end project lifecycle management, including planning, execution, monitoring, and closure, while proactively identifying risks, managing resource constraints, and driving resolutions in partnership with IT and business leadership.

The IT Project Manager champions governance standards, applies best-practice project management frameworks, and facilitates cross-functional collaboration to optimize delivery performance, processes, and customer experience. This role operates as an individual contributor with matrix leadership responsibilities, influencing cross-functional teams, vendors, and stakeholders to achieve project objectives and advance enterprise priorities.

Essential Duties & Responsibilities

  • Owns end-to-end delivery of IT projects within IT Operations, and cross-functionally with other IT functions and enterprise consumers.
  • Develops and manages integrated project plans aligned to Organizational Excellence stage gates and enterprise governance standards.
  • Leads project execution, coordinating resources across technical teams, business units, suppliers, and shared services functions.
  • Establishes clear project scope, objectives, deliverables, and success criteria.
  • Proactively identifies, manages, and mitigates project risks, issues, dependencies, and constraints.
  • Maintains and governs project artifacts, including project charters, CRAIDI logs, RACI matrices, and detailed schedules.
  • Drives stakeholder engagement, ensuring consistent, transparent communication at all levels of the organization.
  • Develops and presents project health reporting, dashboards, and executive status updates tailored to technical and non-technical audiences.
  • Defines and monitors project KPIs, ensuring timely escalation and remediation of delivery risks.
  • Leads change management activities, including development of implementation and rollback plans, and coordination with Change Advisory Boards.
  • Manages project financials, including budget development, forecasting, variance tracking, and collaboration with IT Finance & Governance.
  • Aligns project execution with Enterprise Architecture standards to ensure scalability, reusability, and long-term sustainability of solutions.
  • Collaborates with IT PMO, IT Applications, ERP, and Transformation offices to ensure consistent delivery frameworks and governance adherence.
  • Leads Agile ceremonies including sprint planning, standups, retrospectives, and backlog refinement.
  • Provides mentoring and guidance to project coordinators, junior team members, and cross-functional contributors on project management best practices.
  • Contributes to the continuous improvement of PMO processes, standards, and the Center of Excellence.
  • Ensures alignment of initiatives within a single source of truth for project tracking and reporting.
  • Conducts post-implementation reviews, validates outcomes, and drives lessons learned to improve future delivery.
  • Partners with Business Excellence and Organizational Excellence teams to maintain high standards of project quality and execution.
  • Ensures compliance with policies, including safety, security, and regulatory requirements.
  • Drafts and delegates deliverables within projects according to resource capacity and expertise.
  • Leverages robust change management principles to coordinate project execution in a methodical and intentional manner.
  • Champions professionalism, technical competence, and customer-oriented mindsets within project teams.
  • Systemically organizes project teams and stakeholders; leverages Communities of Practice within the organization.
  • Train new members of the IT team in the people, systems, and processes used by the organization.
  • Regularly collaborate with Business Excellence teams to maintain exceptional project quality.
  • Review CSAT feedback with the PMO team and seek opportunities to drive continuous improvement.

Knowledge, Skills & Education

The candidate must be able to perform each essential duty satisfactorily. The requirements are representative of the knowledge, skills, and/or abilities required.

  • Accredited four-year degree in Information Systems or a related field or equivalent preferred.
  • Minimum of 3–5 years of experience managing IT projects in an enterprise environment.
  • PMP certification is required.
  • CompTIA A+, Network+, and Security+, Project+ or equivalent certifications required within one year of starting in the role.
  • Demonstrated experience delivering projects across multiple domains (e.g.: infrastructure, applications, ERP).
  • Experience managing full project lifecycles, including resource planning, execution, monitoring, financial management and forecasting, and closure.
  • Exceptional stakeholder management skills; ability to influence without authority.
  • Outstanding communication and interpersonal skills, capable of working collaboratively with multiple departments and stakeholders. Translates technical concepts for business consumers.
  • Proven ability to lead cross-functional teams in a matrixed environment.
  • Expert knowledge of project management methodologies, including Agile, Waterfall, and hybrid frameworks.
  • Experience supporting engineering teams and familiarity with the tools and processes used in IT infrastructure design and build activities.
  • Advanced knowledge of Microsoft Windows operating systems, including Server.
  • Working knowledge of macOS, iOS and iPadOS operating systems.
  • Working understanding of IT Service Management tooling, such as Freshservice, and ITIL-aligned operating practices therefor.
  • Working technical knowledge of hybrid IT infrastructure, including Active Directory, Group Policy, M365 cloud services including Intune and Exchange, networking, storage, and virtualization.
  • Working knowledge of ITIL Foundations.
  • Basic knowledge of telephony platforms such as Teams Voice, Cisco Call Manager, RingCentral, or functional equivalents.
  • Travel up to 20% within the United States
