Job description

Adventures by Disney and National Geographic Expeditions offer immersive, guided travel experiences for families, friends, individuals, and couples to explore the world's greatest destinations. Adventures by Disney , spanning two decades, offers over 40 guided-group adventures, including land and river cruises with Disney-trained Adventure Guides ensuring hassle-free, immersive vacations. National Geographic Expeditions , with a 135-year legacy, provides global access through Signature Land, Expedition Cruise, River Cruise, or Private Jet options, supporting the National Geographic Society's exploration, research, and education efforts.

As an Executive Assistant within Adventure & Expeditions , you will play a vital role in supporting senior leaders and helping drive the success of a dynamic, guest-focused business. In this role, you will navigate a fast-paced environment, manage competing priorities, and build strong partnerships across The Walt Disney Company. Success requires exceptional judgment, discretion, and the ability to leverage relationships and resources across the enterprise to anticipate needs, remove obstacles, and keep priorities moving forward. As a highly visible representative of Adventure & Expeditions, you will bring professionalism, adaptability, and a positive attitude to every interaction. Your ability to foster collaboration, build trusted relationships, and support leaders with integrity and excellence will be critical to the success of both the executive office and the broader Adventure & Expeditions team.

The Executive Assistant for Adventures & Expeditions will report to the Director, Owned & Operated and sits in Celebration, FL.

*This is an on-site role based in Celebration, FL.

Responsibilities:

  • Manage complex executive calendars, coordinating meetings across multiple time zones and stakeholder groups while proactively resolving scheduling conflicts.

  • Coordinate executive travel arrangements, itineraries, and expense reporting in compliance with company policies and procedures.

  • Provide proactive, organized, and efficient support by anticipating leader needs, exercising sound judgment, and identifying effective solutions.

  • Plan and facilitate meetings, including conference room scheduling, video conferencing, catering, site visits, and related logistics.

  • Draft, edit, and prepare executive communications, presentations, announcements, talking points, correspondence, and other business materials.

  • Support onboarding activities for new employees, helping ensure a seamless transition into the organization.

  • Plan and execute high-profile events and programs, including leadership summits, team off-sites, recognition events, town halls, and other strategic gatherings.

  • Generate reports, create spreadsheets, maintain records, and support business initiatives, special projects, and ongoing department operations.

  • Support the broader Adventure & Expeditions team, including ordering supplies and providing administrative assistance as needed.

  • Build and maintain strong working relationships across the organization to facilitate collaboration, communication, and effective executive support.

  • Perform other duties and special projects as assigned.

Required Qualifications:

  • 5+ years of administrative experience supporting leaders and executives in a fast-paced, dynamic environment, with a proven ability to build effective relationships across all levels of an organization.

  • Exceptional written, verbal, and interpersonal communication skills, with the ability to interact professionally and confidently with senior executives, internal partners, peers, and external contacts.

  • Highly organized, detail-oriented self-starter with strong follow-through skills and the ability to manage multiple priorities, meet deadlines, maintain accurate records, and adapt to changing business needs.

  • Demonstrated ability to exercise sound judgment, discretion, flexibility, and a service-oriented mindset while handling competing priorities and confidential information.

  • Proven experience managing complex executive support functions, including calendar administration, travel coordination, expense reporting, and office operations.

  • Ability to work independently, anticipate needs, proactively solve problems, and remain calm and resourceful in unexpected situations.

  • Strong proficiency with computers, office technology, and Microsoft Office applications; experience with SAP, SharePoint, Concur, or similar business systems preferred.

  • Demonstrated ability and confidence to quickly learn new systems, tools, and processes.

Preferred Qualifications:

  • Knowledge of and enthusiasm for the travel, tourism, or hospitality industry.

  • Experience working within a large, complex, matrixed organization.

  • Ability to effectively navigate cross-functional partnerships and organizational structures in a dynamic corporate environment.

Required Education:

  • Bachelor's Degree or equivalent work experience.

The hiring range for this position in Celebration, FL is $51,500.00-$68,900.00 per year based on a 40 hour work week. The amount of hours scheduled per week may vary based on business needs. The base pay actually offered will take into account internal equity and also may vary depending on the candidate's geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
