The Position

Supports safe, secure, efficient office operations by coordinating workplace services, security processes, vendor activity, administrative support, budget support and employee-facing service needs. Manages and directs outsourced vendors responsible for system maintenance and data entry. Liaises with outsourced vendors. Provides statistical data to enable strategic analysis. The Specialist supports security incidents and investigations, training/awareness, case management and travel security. May serve as the Site Security Representative for the Home Office location.

Relationships

Reports to the Director of Security & Workplace Solutions. Partners with Security including Global team, Facilities, Workplace Solutions, site leadership, site security representatives, employees, visitors, vendors, property management, IT, procurement and external partners as appropriate.

Essential Functions

  • Coordinate workplace operations, employee service requests, shared spaces, supplies, vendor support, maintenance, office services, technology support and issue resolution
  • Support security operations, including access control, badging, visitor management, incident reporting, emergency notifications, user data administration and weekly badge access reporting
  • Responsible for maintaining and administering user data within the Access Control system and generating and distributing weekly badge access reports to ensure accurate access management and compliance
  • Manage vendor documentation and business processes, including MSAs, POs, invoices, service contracts, records, assets, equipment inventories, project logs and retention files
  • Provide program, project and administrative support for process improvement, risk management, case management, business continuity, training, reporting, travel security, communications, webpage updates, emergency notification system, T&E, meetings, conferences and special events
  • Coordinate with global teams, business partners, property management and external stakeholders to support collaboration, project tracking, emergency preparedness, crisis response and continuous improvement.

Physical Requirements

5-15% overnight travel required. Primarily office-based; may require walking facility areas, escorting visitors or vendors, lifting light office supplies, responding to onsite issues and occasional flexibility outside standard business hours.

Qualifications

  • Associate's degree with 4+ years of experience required or a Bachelor's degree and 2+ years of experience required
  • 0-2 years of experience in corporate administration, facilities coordination, workplace services, security administration, office operations, or a related support role preferred
  • Experience supporting vendors, records, reporting, scheduling, events, communications, or sensitive administrative processes preferred
  • Ability to collaborate and communicate cross functionally and influence key stakeholders
  • Performs in a role representing various degrees of complexity and necessitates a higher level of organizational skill, composure and savvy. The work material (e.g., investigations or incident response) often involves high-level, sensitive matters that require sound judgment and discretion when handling
  • Demonstrated ability to manage cross functional and intradepartmental projects
  • Demonstrated ability to quickly build rapport with people
  • Demonstrated success in understanding facilities technology and how that affects the operations of the organization
  • Experience in CAFM and/or IWMS and software integrations, previous experience with AutoCad Software preferred. Must possess demonstrated skills in PC applications, typically involving new/emerging technologies such as on-line databases, intranet/internet and computer software programs specific to facilities

The base compensation range for this position is $83,400 to $150,200. Base compensation is determined based on a number of factors. This position is also eligible for a company bonus based on individual and company performance.

Novo Nordisk offers long-term incentive compensation and or company vehicles depending on the position's level or other company factors.
