As a Scheduling Analyst, you'll support airport operations by developing and managing forward-looking workforce schedules across multiple workgroups and multiple airport locations in a fast-paced, high-volume operational environment. This role is responsible for aligning staffing plans with forecasted demand, labor standards, productivity targets, operational priorities, and staffing availability to help ensure efficient day-to-day operations across all supported sites.
The Scheduling Analyst will leverage workforce planning data, scheduling tools, and operational insights to proactively balance labor coverage, optimize staffing utilization, identify scheduling risks, and support operational efficiency across a portfolio of locations. This role requires a self-starter mindset, intellectual curiosity, strong analytical thinking, and the communication skills to influence at all levels - managing up to leadership and guiding frontline operations teams. The ability to adapt scheduling strategies based on changing business needs and operational trends across multiple sites is essential.
What You'll Do:
  • Build and maintain forward-looking schedules across multiple airport locations based on forecasted demand, labor standards, and operational requirements
  • Ensure schedules align with volume forecasts, productivity targets, and staffing needs across multiple workgroups and sites
  • Proactively adjust schedules based on changes in demand, staffing availability, and operational inputs, including same-day coverage needs
  • Manage and execute shift bids, including both recurring and ad hoc bid processes, and coordinate onboarding scheduling for new hires in alignment with CBA requirements
  • Track and manage pre-planned time off, ensuring coverage is proactively reassigned to maintain operational continuity
  • Apply and ensure compliance with collective bargaining agreements (CBA), including work rules, seniority, and scheduling constraints across all supported locations
  • Identify coverage gaps early, partner with operations to mitigate staffing risks, and monitor scheduled hours against forecasted demand to surface variances
  • Analyze trends in over- and under-scheduling, productivity, and efficiency gaps to provide actionable recommendations that right-size staffing levels
  • Support the development and standardization of scheduling processes for a newly established function, identifying opportunities to improve workflows, system configuration, and reporting visibility
  • Serve as the primary scheduling point of contact across all assigned airport locations, partnering with local operations teams to address staffing needs and optimize scheduling decisions
  • Collaborate with Capacity Planning, UKG Administrators, and the WFM Center of Excellence (COE) to support headcount planning, system configuration improvements, and future state workforce management needs
  • Act as a frontline resource for airport locations on employee data issues within Workday and UKG, and support teams across all aspects of the UKG WFM platform including time and attendance, scheduling configuration, and the WorkJam employee app
  • Communicate scheduling insights, risks, and recommendations clearly to both frontline teams and senior leadership, adapting style and detail level to the audience

What We're Looking For:
  • 2-4 years of experience in workforce scheduling, preferably in a complex, high-volume, or 24/7 operational environment
  • Demonstrated ability to manage scheduling responsibilities across multiple locations or workgroups simultaneously
  • Strong understanding of labor planning, staffing alignment, and operational scheduling principles
  • Self-starter who takes initiative, works independently, and proactively identifies and addresses issues before they escalate
  • Intellectually curious with a continuous improvement mindset - always asking why and looking for smarter ways to work
  • Strong communicator who can manage up to leadership with clear, concise reporting and lead down by guiding and influencing frontline operations teams
  • Strong analytical and problem-solving skills with attention to detail
  • Proficiency in Microsoft Excel
  • Hands-on experience with UKG Workforce Management, including scheduling, time and attendance, and employee-facing modules
  • Experience working in union environments with collective bargaining agreements (Preferred)
  • Familiarity with Workday HRIS, including employee data management and troubleshooting (Preferred)
  • Experience with the WorkJam employee app or similar employee-facing scheduling platforms (Preferred)
  • Experience with Tableau or Power BI (Preferred)

The annual starting salary for this position is between $60,000 - $75,000 annually. Factors that may affect starting pay within this range include geography/market, skills, education, experience, and other qualifications of the successful candidate.
