Job description

Overview

The Workforce Development Coordinator will be responsible for providing general support to the Workforce Development (WFD) team, including tasks of moderate to advanced difficulty requiring excellent administrative skills. This role will work closely with our cross-functional teams to provide support and assist with the development, delivery and tracking of training sessions and content.

This onsite position is based in Irving, TX.

Responsibilities

Essential Job Functions:

  • Build trust and work collaboratively with partners at multiple levels of the organization, including staff, craft, stakeholders, and management

  • Provide general administrative support to the WFD team, including PowerPoint work, Excel spreadsheet creation/tracking, data entry, and other general administrative functions

  • Send and track learner enrollments and confirm attendance

  • Maintain WFD yearly training calendar updates and changes

  • Assist the LMS Administrator by entering the data on training rosters, and records into the LMS or other systems required

  • Coordinate training sessions by scheduling and setting up and breaking down rooms, sending and tracking invites, arranging hotel accommodation and necessary travel, ordering food, swag and materials

  • Order, catalog, track and ship supplies for training events as requested

  • Support training documentation needs including creating, entering, and maintaining training documentation, forms, and processes

  • Set up training rooms and facilities, distribute training materials, and assist facilitators and WFD members during training sessions and classes, as needed

  • Support virtual training needs by scheduling virtual training sessions, configuring breakout rooms, uploading session materials/links, and recording sessions when required

  • Administer, collect, and compline learner feedback evaluation data for WFD team members

  • Process invoices and reconcile monthly department P-card charges as needed. 
  • Other duties as assigned


Qualifications

Education and Work Experience Requirements:

  • Associates or Bachelor’s degree preferred

  • Two years related experience and/or training or equivalent combination of education and

    experience

  • Previous experience with coordinating events and/or training preferred

Knowledge, Skills and Abilities Required:

  • Motivated, self-starter and a willingness to take initiative

  • Energetic, forward-thinking and creative personality

  • Strong work ethic

  • Ability to recognize continuous improvement opportunities

  • Must be capable of up to 25% travel (e.g. 1 week or 5 days/month) by automobile (as driver and passenger), commercial airlines, rental vehicles and public transportation and be able to lodge in public facilities. Travel will be necessary to conduct the duties of this job, and the employee must have the ability to drive and have proper licensing.

  • Ability to speak/read/write in Spanish (preferred)
