Location:Healthy Kids Programs, 2 Summit Court, Fishkill, NY 12524

Schedule

Part-time, Monday–Friday. Employees will be assigned one consistent weekday shift at hire based on program needs.

Available shifts include:

  • 8:00 AM – 2:00 PM

  • 9:00 AM – 3:00 PM

  • 11:00 AM – 5:00 PM

Pay:$18/hour -$21/hour depending on experience.

Position Overview

Healthy Kids Programs is seekingPart-Time Customer Service& Automation Specialiststo support family enrollment while helping improve and streamline internal registration processes.

This role serves as the primary point of contact for prospective families during the enrollment journey while also identifying opportunities to automate workflows, improve communications, and increase operational efficiency across registration and customer support functions.

This role also serves as a trusted resource for families navigating childcare assistance programs. The Customer Service & Automation Specialist will develop expertise in childcare subsidy programs and guide families through eligibility, enrollment, and renewal processes to improve access and reduce barriers to care.

This is an excellent opportunity for someone who enjoys both customer service and finding smarter ways to get work done through technology, systems, and process improvement.

Key Responsibilities

Family Registration, Enrollment & Subsidy Support

  • Serve as the first point of contact for prospective and enrolled families via phone and email

  • Guide families through registration, enrollment, scheduling, and required documentation

  • Process registrations accurately, ensuring proper billing, scheduling, and account setup

  • Follow up with prospective families to support enrollment conversion and retention

  • Develop and maintain expertise in childcare subsidy and tuition assistance programs across Healthy Kids service areas

  • Educate and guide families through subsidy eligibility, application, recertification, and documentation requirements while maintaining compliance with program guidelines

  • Support families in completing enrollment steps that coordinate with childcare assistance and subsidy programs

  • Track subsidy-related registration progress and proactively communicate next steps to families

  • Maintain current knowledge of changing subsidy policies, deadlines, and family requirements

  • Track registration activity and generate reports using CRM and registration systems

  • Collaborate with Marketing, Finance, and Operations teams to support enrollment growth and improve family access

Automation & Process Improvement

  • Identify opportunities to improve efficiency across registration and customer service workflows

  • Build and maintain automated communications, reminders, and follow-up sequences using approved systems and platforms

  • Support CRM optimization, data cleanup, and process standardization

  • Assist with implementation and testing of workflow automation tools and AI-enabled administrative processes

  • Monitor automation performance and recommend enhancements to improve family experience and staff productivity

  • Create standard operating procedures (SOPs), templates, and training materials for registration and enrollment workflows

  • Help reduce manual administrative work while maintaining a high-touch, family-centered experience

Requirements

Qualifications

Required

  • Experience in customer service, administrative support, registration, enrollment, or client-facing operations

  • Excellent written and verbal communication skills

  • Strong attention to detail and accuracy

  • Comfortable learning and using digital systems and technology platforms

  • Effective time management and ability to manage multiple priorities

  • Team-oriented mindset with flexibility and adaptability

  • High school diploma or equivalent

Preferred

  • Experience with childcare subsidy programs, public benefits navigation, enrollment services, case management, or family support services

  • Experience using CRM systems, workflow tools, or process automation platforms

  • Experience using AI tools or technology to improve administrative processes

  • Ability to explain complex eligibility and documentation requirements in a clear and supportive manner

  • Experience supporting families from diverse backgrounds

  • Bilingual skills strongly preferred
