The Impact of Your Role

Serving as our Workers' Compensation Legal Secretary, you will be the driving force behind our firm. By collaborating with case managers and attorneys, you will oversee an active caseload from the initial intake through to the final resolution. More than just managing documents, you will serve as a vital resource for our bilingual clientele and a fundamental component of our overall litigation strategy.

Core Operational Responsibilities

Your role will be central to our daily success, requiring a high degree of organization and engagement. You will:

  • E-Filing & Document Management: Take charge of preparing and filing vital legal documents through the WCAB and EAMS platforms.
  • Legal Drafting: Under attorney supervision, produce accurate Petitions, Objections, Declarations of Readiness to Proceed (DOR), and Compromise & Release (C&R) agreements.
  • Deadline Oversight: Maintain strict control over the firm's calendar, tracking WCAB hearings, AME/QME appointments, and all legal response dates.
  • Medical Record Coordination: Efficiently request, categorize, and summarize medical reports from primary physicians and medical evaluators.
  • Bilingual Client Advocacy: Act as a professional liaison in English and Spanish, coordinating seamlessly with clients, medical providers, and defense counsel.
  • Case System Management: Ensure all files remain current and optimized within MerusCase and Clio.
  • Litigation Support: Prepare for MSCs and trials by developing witness lists, document indexes, and comprehensive exhibit packets.
  • Administrative Flow: Manage daily correspondence, route urgent mail, and oversee general office scheduling and client follow-up.

Candidate Requirements

Essential Qualifications:

  • Professional Background: At least 2 years of experience as a California workers' compensation assistant or legal secretary. Applicant/Plaintiff-side expertise is highly preferred.
  • Linguistic Proficiency: Full bilingual fluency in English and Spanish (verbal and written) is mandatory.
  • Technical Expertise: Documented experience with WCAB/EAMS filing and proficiency in MerusCase.
  • Specialized Knowledge: Strong command of CA Workers; Comp terminology (e.g., AOE/COE, TD/PD, QME/AME, C&R, MMI/P&S, DOR,MSC).
  • Organizational Mindset: Extreme attention to detail and the ability to remain calm while multitasking in a fast-paced environment.

Preferred Skills:

  • Prior background in lien resolution and claimant correspondence.
  • Familiarity with the QME panel request process.
  • Experience working within multi-practice legal environments.
