Job Description
Alabama State University, Office of Financial Aid, invites applications to the fill the position of Federal Work-Study Coordinator. Under the general supervision of the Assistant Director of Financial Aid, the Work-Study Coordinator will coordinate and monitor all work study positions and placement of students, ensure compliance with federal, state and institutional policies and regulations.
Duties and Responsibilities:
  • Assists in the annual review and revision of the department's Policies and Procedures Manual relating to Work Study
  • Communicates with supervisors and departments on hiring work-study students and time sheet procedures.
  • Responsible for orienting and training student workers, and assigning and reviewing their work.
  • Responsible for acting in a "lead" capacity over federal work-study student employees.
  • Ensure work times do not overlap with course schedules and students do not exceed maximum hours.
  • Coordinates and monitors all facets of the work-study process, including payroll, work authorization, job descriptions, off campus contracts and time sheets.
  • Collect, verify, and update payroll and reporting documents.
  • Reconciles federal and state work study accounts monthly with the Finance Office and prepares monthly student usage reports.
  • Write a variety of documents, including job descriptions, reports on employment and contracts.
  • Participates in school orientation programs and outreach events.
  • Using creativity, markets the Federal Work-Study program on/off campus
  • Follows established policy and procedures for federal work-study during the fall, spring and summer terms.
  • Monitors students' employment and works with financial aid counselors to increase student's funding as needed.
  • Works with Federal Work-Study student employees/supervisors to inform them of their responsibilities and serves as their point of contact.
  • Serves as liaison to the Human Resources and Payroll offices; troubleshoots to resolve missing documents or payroll issues; audits all time reported by Federal Work-Study student employees, and corrects any errors or discrepancies.
  • Develops and updates the website with all necessary forms for students.
  • Performs other related duties as assigned.

Minimum Qualifications
A bachelor's degree from an accredited college or university with three to five years of progressively responsible experience in a Financial Aid Office; knowledge of State and Federal Student Aid policies, procedures and regulations; experience in a higher education or similar environment that involved assisting individuals in understanding and completing complex forms and documents used to determine program eligibility; strong accounting and reconciliation skills, must be accurate, detail-oriented and have excellent time-management skills; must communicate effectively orally and in writing and maintain good working relationships with students, staff, faculty and external contacts and proficient in the use of Word, Excel and Outlook are required.
