Job description

About the Role:

The Permit Coordinator plays a critical role in ensuring that all necessary permits and approvals are obtained efficiently and in compliance with local, state, and federal regulations for construction projects. This position serves as the primary liaison between the construction team, regulatory agencies, and other stakeholders to facilitate smooth project progression without legal or administrative delays. The Permit Coordinator meticulously manages permit applications, tracks deadlines, and maintains comprehensive records to support project timelines and budgets. By proactively identifying potential permitting issues and resolving them promptly, this role helps mitigate risks that could impact project delivery. Ultimately, the Permit Coordinator ensures that all construction activities proceed with the proper authorizations, contributing to the overall success and regulatory compliance of the projects undertaken by the company.

Minimum Qualifications:

  • High school diploma or equivalent; Associate’s or Bachelor’s degree in Construction Management, Civil Engineering, or related field preferred.
  • Minimum of 2 years of experience in permit coordination or a related role within the construction industry.
  • Strong knowledge of local, state, and federal permitting processes and regulations applicable to construction projects.
  • Proficiency in using permit management software and Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent organizational skills with the ability to manage multiple projects and deadlines simultaneously.

Preferred Qualifications:

  • Experience working with municipal and state regulatory agencies in the United States.
  • Familiarity with environmental regulations and safety compliance related to construction permits.
  • Certification in project management or construction permitting (e.g., Certified Permit Technician) is a plus.
  • Strong communication skills with experience in stakeholder engagement and negotiation.
  • Ability to read and interpret construction drawings and technical documents.

Responsibilities:

  • Prepare, submit, and track permit applications for various construction projects in accordance with regulatory requirements.
  • Coordinate with local government agencies, utility companies, and other stakeholders to obtain necessary approvals and inspections.
  • Maintain detailed records of all permits, correspondence, and documentation related to regulatory compliance.
  • Monitor permit expiration dates and renewal requirements to ensure continuous compliance throughout the project lifecycle.
  • Collaborate closely with project managers, engineers, and contractors to align permitting activities with project schedules and milestones.
  • Identify potential permitting challenges early and develop strategies to address or escalate issues as needed.
  • Provide regular updates and reports on permit status to internal teams and management.
  • Ensure all permit-related activities comply with company policies, safety standards, and legal regulations.

Skills:

The Permit Coordinator utilizes strong organizational and communication skills daily to manage complex permitting processes and maintain clear, timely communication with regulatory bodies and project teams. Attention to detail is essential when preparing and reviewing permit applications to ensure accuracy and compliance with all legal requirements. Proficiency with permit management software and Microsoft Office tools enables efficient tracking and documentation of permit statuses and deadlines. Problem-solving skills are frequently applied to anticipate and resolve permitting challenges that could delay construction activities. Additionally, interpersonal skills are important for collaborating effectively with diverse stakeholders, including government officials, contractors, and internal project personnel, to facilitate smooth project execution.
