POSITION SUMMARY:

The Work Order Specialist is responsible for completing resident Service Requests and providing excellent customer service to residents, staff, and vendors.ย 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Complete Service Requests, including repairing plumbing, electrical, carpentry and drywall issues.
  • Ensure 30-minute response time to Emergency Service Requests and property disasters (fires, floods, freezes, etc.).
  • Perform an inspection of the community grounds each morning to ensure that the community is clean and well-maintained, including maintenance of landscaping, bushes, trees, lawn, snow, trash, etc.
  • Turn all vacant units, as assigned, including painting, cleaning, and maintenance.
  • Complete maintenance work orders within 48 hours of input into Entrata and make-readies within 7 days of vacancy.
  • Complete preventative maintenance activities and update records of those activities.
  • Maintain records of maintenance performed in all units and update property software.
  • Maintain all tools, equipment, and replacement parts in working condition.
  • Provide service and maintenance for all common areas and amenities.
  • If applicable, service the community pool, including water testing and cleaning, filter and systems maintenance, responding to water hygiene incidents, completing minor repairs, etc.
  • Communicate openly with other team members regarding work priorities and the state of projects.
  • Coordinate special projects as directed.
  • Ensure safety protocol is being followed.ย 
  • Other duties as assigned.

Requirements

SKILLS AND QUALIFICATIONS:

  • On-call availability on nights and weekends
  • Great mechanical aptitude in appliance repair, plumbing systems, HVAC systems, electrical systems, etc.
  • Communicate effectively and courteously with residents, staff and vendors
  • Ability to self-direct and prioritize activities
  • Ability to work in adverse weather conditionsย 
  • Hand tools necessary to do the job

EDUCATION, TRAINING AND/OR EXPERIENCE:

  • High school diploma or equivalent is required.
  • 1 to 3 years of work-related experience is required.ย 
  • EPA Universal certificate is preferred.
  • Pool maintenance experience preferred.

PHYSICAL REQUIREMENTS:

  • Constant need (66% to 100% of the time) to perform the following physical activities:
  • Walking/Standing/On Feet: Move around to different apartment units for routine maintenance/repairs
  • Bend/Stoop/Squat/Kneel: Perform routine maintenance/repairs, pick up tools and needed equipment, etc.
  • Climb Stairs: Complete service requests and make-ready needs for 2nd and 3rd floor apartments
  • Push or Pull: Move equipment, appliances, open and close doors, etc.ย 
  • Reach Above Shoulder: Perform routine maintenance/repairs, stock and remove equipment, etc.
  • Climb Ladders: Perform routine maintenance/repairs
  • Grasp/Grip/Turning: Handle tools and equipment, perform routine maintenance/repairs
  • Finger Dexterity: Handle tools and equipment, perform routine maintenance/repairs
  • Writing: Inventory maintenance, complete requisition requests and required maintenance reports
  • Lifting/carrying: Transporting and moving supplies: replacement parts, ladders, etc.

Over 150 lbs. Rare need (less than 1% of the time)

75 - 150 lbs. Occasional need (1% to 33% of the time)

25 - 75 lbs. Frequent need (33% to 66% of the time)

1 - 25 lbs. Constant need (66% to 100% of the time)

NOTE: Lifting and carrying weights exceeding 50 lbs. is often accomplished with assistance from one or more people. Examples of the heaviest items lifted include washer and dryers, refrigerators, A/C units, abandoned sofas, etc.

VISION REQUIREMENTS:

  • Constant need (66% to 100% of the time) to document maintenance and complete forms, review manuals and operating instructions, read cautionary labels, respond to written instruction from staff and residents, and see small detail when performing routine maintenance duties.
  • Frequent need (33% to 60% of the time) to see things clearly beyond arm's reach, such as overseeing assistants and observing problems throughout the property.

HEARING REQUIREMENTS:

  • Constant need (66% to 100% of the time) to communicate with assistants, office staff, vendors and residents. Must use listening skills to diagnose needed repairs, etc.

SPEAKING REQUIREMENTS:

  • Constant need (66% to 100% of the time) to verbally communicate with assistants, office staff, vendors and residents.

DRIVING/TRAVELING REQUIREMENTS:

  • Frequent need (33% to 66% of the time) to utilize personal transportation to pick up replacement parts and supplies from vendors. Rotating on-call status may occasionally require expedient travel to assigned property at a moment's notice. Pickups and deliveries to the corporate office may be required. Must have reliable transportation.

WORK ENVIRONMENT:

  • Constant need (66% to 100% of the time) to work indoors.ย 
  • Frequent need (33% to 66% of the time) to work outdoors in all conditions, often for extended periods of time.
  • Frequent need (33% to 66% of the time) to work in awkward and confining positions.
  • Occasional exposure (1% to 33% of time) to paint fumes, solvents, adhesives, etc. Example: Apartments during/after make-ready.
